Key Responsibilities

  • Welcome guests warmly and provide a personalized and professional spa experience.
  • Handle spa reservations, appointments, and guest inquiries via phone, email, and in person.
  • Explain spa treatments, facilities, packages, and promotional offers to guests.
  • Check guests in and out efficiently and process payments accurately.
  • Maintain guest records and ensure confidentiality of personal information.
  • Coordinate appointment schedules with therapists and spa attendants.
  • Promote and upsell spa services, memberships, retail products, and special packages.
  • Ensure the reception area is clean, organized, and maintained to luxury standards.
  • Address guest concerns promptly and escalate issues when necessary.
  • Support daily spa operations, inventory control, and administrative tasks.
  • Adhere to all company policies, health and safety regulations, and grooming standards.

Preferred Qualifications

  • High school diploma or equivalent; hospitality related qualification preferred.
  • Previous experience in a luxury hotel, spa, wellness center, or customer service environment.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and spa reservation systems.
  • Fluency in English; additional languages are an advantage.
  • Ability to work flexible schedules, including weekends and holidays.

Additional Duties

  • Schedule services for individuals and large groups using spa/salon reservations software system.
  • Call guests to confirm scheduled services.
  • Answer questions about available services.
  • Update the reservations/cancellations list throughout the day.
  • Check in guests for appointments.
  • Promote and sell spa/salon services.
  • Obtain assigned bank and ensure accuracy of contracted monies.
  • Process guest payments for spa/salon services.
  • Accept and log cash tips for employees.
  • Balance, scan, and drop receipts with Accounting.
  • Notify Engineering of maintenance and repair needs.

Safety and Compliance

  • Report accidents, injuries, and unsafe work conditions to manager.
  • Follow all company policies and procedures.
  • Ensure uniform and personal appearance are clean and professional.
  • Maintain confidentiality of proprietary information.
  • Protect company assets.
  • Welcome and acknowledge all guests according to company standards.
  • Anticipate and address guests’ service needs.
  • Assist individuals with disabilities.
  • Thank guests with genuine appreciation.
  • Speak with others using clear and professional language.
  • Answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others.

Physical Requirements

  • Stand, sit, or walk for an extended period of time.
