Job Summary

Two Continents Real Estate is seeking a highly experienced and detail-oriented Senior Real Estate Administrator.

The role manages sales, leasing, listings, client documentation, KYC compliance, and transaction administration while supporting agents and management.

The successful candidate needs comprehensive knowledge of Dubai's real estate market, transaction procedures, compliance requirements, and property portals.

Employment and Workplace

  • This is a full-time, in-person position in Dubai, UAE.

Compensation

  • Salary starts from AED 8,000 per month based on experience.
  • Additional compensation includes quarterly performance-based commission linked to the real estate team's results.

Transactions and Documentation

  • Manage sales and leasing transactions from initial agreement through completion and handover.
  • Prepare and review Forms A, B, and F, MOUs, tenancy contracts, addendums, listing agreements, and related documents.
  • Coordinate property transfers, NOCs, trustee appointments, mortgage processes, liability letters, developer requirements, and handovers.
  • Handle Ejari registrations, renewals, amendments, and cancellations.
  • Liaise with DLD, RERA, developers, trustee offices, banks, conveyancers, owners, buyers, landlords, tenants, and brokers.
  • Monitor transaction deadlines, contract expiries, payments, document validity, and outstanding requirements.
  • Prepare commission calculations, invoices, receipts, payment schedules, and transaction reports.

KYC and Compliance

  • Collect, verify, and maintain KYC documents for individual and corporate clients.
  • Verify Emirates IDs, passports, visas, trade licenses, title deeds, powers of attorney, corporate documents, and beneficial ownership information.
  • Ensure client and transaction files meet KYC, AML, DLD, RERA, and company compliance requirements.
  • Conduct compliance checks and follow up on missing, expired, or incomplete documents.
  • Identify and escalate unusual transactions, documentation discrepancies, and potential compliance risks.
  • Maintain secure and confidential KYC records.

Lead and Agent Support

  • Receive, organize, qualify, and allocate leads through the company CRM.
  • Monitor agent follow-ups, lead response times, viewing updates, client feedback, and deal progress.
  • Support agents with property availability, client requirements, proposals, documents, viewing arrangements, and transaction follow-ups.
  • Coordinate viewing schedules, inspections, property access, key collection, and client appointments.
  • Maintain records of enquiries, calls, viewings, offers, negotiations, and closed or lost opportunities.
  • Prepare reports on leads, response times, viewings, conversions, listings, and agent performance.
  • Assist with broker onboarding, portal access, CRM training, document collection, and administrative procedures.

Listings, Portals, and CRM

  • Create, verify, publish, update, and remove listings on Property Finder, Bayut, Dubizzle, and other platforms.
  • Ensure listing details, prices, photographs, permits, availability, and property information are accurate.
  • Apply for and monitor Trakheesi permits, listing permits, broker cards, and regulatory documents.
  • Maintain accurate property, client, owner, tenant, lead, listing, and transaction records in the CRM.
  • Coordinate property photography, floor plans, marketing materials, and listing approvals.
  • Conduct regular CRM, transaction-file, KYC, and property-listing audits.
  • Prepare operational and performance reports for management.

General Administration

  • Support brokers and junior administrators with documentation, compliance, CRM, listings, and transaction procedures.
  • Develop and maintain document templates, checklists, filing systems, and administrative procedures.
  • Maintain organized digital and physical records while protecting confidential client and company information.
  • Coordinate with the accounts and marketing teams when required.
  • Ensure transactions, listings, and advertisements comply with UAE real estate laws, RERA regulations, and company policies.

Requirements

  • At least five years of relevant Dubai real estate administration or transaction coordination experience.
  • Strong knowledge of DLD, RERA, Trakheesi, Ejari, trustee offices, NOCs, mortgage transactions, KYC, and developer procedures.
  • Proven experience managing sales and leasing documentation and supporting real estate agents.
  • Experience with lead allocation, CRM follow-ups, Property Finder, Bayut, Dubizzle, and real estate CRM systems.
  • Excellent written and spoken English.
  • Strong Microsoft Office and Google Workspace skills.
  • Excellent organization, communication, reporting, problem-solving, and attention to detail.
  • Ability to manage multiple transactions independently and work accurately under pressure.
  • Currently residing in the UAE.
