- Develop and implement an efficient document control system to facilitate document management, archiving, and retrieval processes
- Coordinate safekeeping of all departmental documentation, ensuring zero error handling
- Review client document control policies and perform gap analyses for improvement
- Recommend, design, and implement advanced systems and processes for document control and project coordination
- Conduct regular file validation audits to ensure compliance with quality and regulatory standards
- Ensure adherence to internal operating procedures for document submission, retention, and destruction
- Ensure compliance with internal document naming conventions and standards
- Ensure incoming and outgoing emails are logged and actions followed up timely
- Facilitate effective communication between internal teams and external stakeholders
- Monitor progress on action plans across departments, ensuring timely completion
- Develop comprehensive status reports for senior management review
- Perform other duties as needed and manage priorities with minimal guidance
Requirements
- Bachelor’s Degree in Information Management, Business Administration, or related discipline
- Minimum 10 years of relevant experience in document control system development and project coordination, including team leadership
- Experience with Integrated Workplace Management Systems (IWMS) or equivalent platforms
- Understanding of building permit processes and related documentation workflows
- Proficiency in MS Office (with advanced Excel), Adobe, and EDMS solutions
- General knowledge of real estate or facilities management operations
- Excellent written and verbal communication skills in both Arabic and English
- Excellent time management and organizational skills
- Ability to work under pressure while maintaining high accuracy and quality
- Strong attention to detail and structured, process oriented working style

Job Description
- Senior Project Coordinator Qatar
- Lead the coordination, development, implementation, and continuous improvement of the Document Control System (DCS) and associated project coordination processes.
- Oversee a team and work closely with multiple departments and external stakeholders.
What You’ll Be Doing
- Developing and implementing an efficient document control system.
- Coordinating safekeeping of all departmental documentation with zero error target.
- Reviewing client document control policies and performing gap analyses.
- Recommending, designing, and implementing advanced systems and processes.
