As the contract admin lead, the primary objective is contract management, customer relationship management and ensure smooth coordination between the mine, production, and customers for efficient sales order processing. This role also involves facilitating statutory approvals, managing coal disposal, coordinating with internal and external stakeholders, and ensuring timely documentation and billing processes to support the coal sales operation effectively.

Responsibilities
- Customer Account Management:
- Ensure timely replies to letters from MDO and Mine Owner for effective communication and relationship maintenance.
- Drive the creation of washed and reject coal sales orders in SAP to streamline the sales process.
- Coordinate the generation of transit passes on the Mining online portal for all dispatches to ensure compliance with regulatory requirements.
- Ensure the generation of E-Way bills for all coal shipments to maintain regulatory compliance.
- Site Visits and Inspection:
- Conduct periodic visits to the coal stockyard, reject coal stock, and railway siding yard along with customers to oversee operations and address any concerns.
- Prepare all necessary documents for verification and obtain approval for the disposal of washery reject coal from relevant authorities.
- Coordinate with MDO for monthly reject stock verification to ensure compliance with the annual sales plan.
- Coordinate with transporters and vendors for HEMM and truck arrangement for scheduled dispatches.
- Stakeholder Coordination and MIS:
- Coordinate with internal customers daily to fulfill contractual obligations and meet customer requirements for coal dispatches.
- Ensure the preparation of daily, weekly, and monthly coal dispatch/stock MIS reports and share them with the Mine Owner and top management for transparency and decision-making.
- Ensure the reconciliation of billing details related to coal dispatches from the wharf to maintain accuracy and transparency in financial transactions.
- Ensure timely processing of all vendor bills related to coal dispatch operations to maintain smooth vendor relations and avoid delays in payments.
- Follow up and ensure all fund transfers from mine owner through the booking of mining fees expenses in SAP for accurate financial reporting and compliance.
- Perform any other duties assigned by the manager related to day-to-day operational issues to ensure smooth functioning of coal sales operations.
- Implement and Manage Digital Solutions:
- Develop and execute digital initiatives that support business objectives, ensuring alignment with the company’s digital strategy.
- Innovate by identifying and integrating new digital tools and platforms to streamline processes and enhance team productivity.
- Coordinate with department heads to ensure seamless adoption of digital solutions, providing training and support as necessary.
- Monitor the performance of digital tools, gathering feedback and making adjustments to optimize outcomes.

Qualifications
- Education
- Bachelor's degree in engineering or Commerce / Business or related field
- Master's degree preferred.
- Experience
- Minimum of 15 years of relevant experience.
- Good understanding of managing complex contracts and negotiations.
- Good stakeholder management skills and communication skills.
