Job Description

  • We are seeking a highly organized and detail oriented Product & Sales Coordinator to support our sales and product teams in managing daily sales operations, order processing, customer coordination, documentation, and reporting activities.

Key Responsibilities

  • Prepare and manage customer quotations, sales orders, and proforma invoices.
  • Support the sales team with customer follow ups and order related activities.
  • Coordinate with customers and internal departments regarding pricing, stock availability, order status, and delivery schedules.
  • Maintain accurate records of customer inquiries, quotations, and order confirmations.
  • Process sales orders in ERP/SAP systems according to approved pricing and stock availability.
  • Coordinate with the Finance team for credit approvals, payment verification, and invoice release.
  • Work closely with Logistics and Warehouse teams to ensure timely deliveries and shipment updates.
  • Maintain and organize all relevant documentation, including LPOs, quotations, invoices, delivery notes, and payment confirmations.
  • Communicate proactively with customers regarding order progress, payment follow ups, document requirements, and delivery timelines.
  • Coordinate with vendors and product teams for product availability, pricing support, and special approvals.
  • Assist in updating and maintaining accurate customer account and master data records.
  • Prepare daily, weekly, and monthly sales reports for management.

Requirements

  • Bachelor’s Degree in Business Administration, Commerce, Information Technology, or a related field.
  • 2–4 years of experience in Sales Coordination, Sales Support, Customer Service, or Order Processing.
  • Experience in IT Distribution, Electronics Trading, IT Hardware/Software, or Channel Sales is highly preferred.
  • Hands on experience with ERP/SAP systems is an advantage.
  • Strong communication and coordination skills.
  • Advanced MS Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, Filters and basic formulas.
  • Knowledge of sales order processing, quotations, invoicing, and delivery coordination.
  • Excellent attention to detail and accuracy.
  • Ability to multitask, prioritize work, and meet deadlines.
  • Strong ownership mindset with excellent follow up skills.
  • Customer focused approach and problem solving ability.
  • Good data entry, documentation, and record management skills.
