About the Role
SwissPro 360 Real Estate is seeking a highly organized Real Estate Operations Coordinator to support sales operations, property listings, and client coordination. The role involves managing transaction documents, coordinating with developers, and assisting with marketing and commission administration.

Responsibilities
- Prepare client files, organize transaction documents, manage property files, and maintain accurate records
- Publish and maintain property listings on Property Finder, Bayut, Dubizzle, company website, and social media
- Communicate with developers to schedule meetings, collect project information, update price lists, and obtain marketing materials
- Assist management with calculating sales commissions, preparing commission reports, and coordinating payments
- Welcome clients, organize meetings, coordinate appointments, follow up documentation, and maintain communication during transactions
- Collaborate with graphic designer to provide project information, prepare marketing material, and coordinate property advertising
- Coordinate with other SwissPro Group companies including accounting, operations, and management
Requirements
- Experience in UAE real estate administration
- Knowledge of Dubai real estate procedures
- Experience using Property Finder and Bayut
- CRM experience (Zoho CRM is a strong advantage)
- Good Microsoft Office skills
- Excellent English

Position Overview
- Real Estate Operations Coordinator role at SwissPro 360 Real Estate L.L.C., a Swiss owned brokerage in Dubai.
- Work directly with Management and Real Estate Consultants to organize day to day operations.
- Become the link between consultants, clients, developers, and companies within the SwissPro Group.
Main Responsibilities
- Sales Administration: Prepare client files, organize transaction documents, manage property files, maintain records, follow up pending transactions, monitor deadlines.
- Property Listings: Publish and maintain listings on Property Finder, Bayut, Dubizzle, company website, and social media.
- Developer Coordination: Communicate with Dubai's leading developers, schedule meetings, collect project information, update price lists, obtain brochures.
- Commission Administration: Assist with calculating sales commissions, preparing reports, coordinating payments, supporting payroll.
- Client Coordination: Welcome clients, organize meetings, coordinate appointments, follow up documentation, maintain communication.
- Marketing Support: Collaborate with Graphic Designer, provide project information, prepare marketing material, coordinate advertising.
- Internal Coordination: Coordinate with SwissPro Business Solutions, Accounting, Operations, Management, Marketing.
Qualifications
- Experience in UAE real estate administration preferred.
- Knowledge of Dubai real estate procedures.
- Experience using Property Finder and Bayut.
- CRM experience (Zoho CRM is a strong advantage).
- Good Microsoft Office skills.
- Excellent English; additional languages an advantage.
