Receptionist And Secretary – Logistics

The Receptionist/Secretary is responsible for managing front desk operations, administrative coordination, and supporting daily logistics activities.

The role ensures smooth communication between clients, drivers, warehouse staff, and management while maintaining organized documentation and efficient office operations.

Key Responsibilitiesfront Desk & Administration

  • Greet visitors, clients, and suppliers in a professional manner.
  • Answer and direct phone calls, emails, and inquiries promptly.
  • Maintain reception area and office organization.
  • Manage incoming and outgoing correspondence and courier deliveries.
  • Schedule meetings and appointments for management.

Logistics Coordination Support

  • Coordinate with drivers, transport coordinators, and warehouse teams.
  • Prepare delivery orders, gate passes, and shipment documents.
  • Maintain records of shipments, delivery schedules, and transport bookings.
  • Assist in tracking deliveries and updating shipment status.
  • Communicate with customers regarding delivery updates when required.

Documentation & Reporting

  • Maintain filing system for invoices, LPOs, delivery notes, and logistics records.
  • Prepare basic reports, data entry, and document updates.
  • Support accounts team by organizing billing and delivery documents.
  • Maintain company databases and digital records.

Office & Operational Support

  • Manage office supplies and stationery inventory.
  • Coordinate travel arrangements and staff logistics when needed.
  • Assist HR/admin with employee documentation and attendance records.
  • Perform general administrative duties assigned by management.

Requirements

  • Proven experience as Receptionist, Secretary, or Admin Assistant (Logistics experience is a plus).
  • Good communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Knowledge of logistics documentation is an advantage.
  • Professional appearance and customer service skills.

Preferred Skills

  • Experience in transportation or freight forwarding companies.
  • Familiarity with delivery scheduling or shipment tracking systems.
  • Ability to work under pressure and meet deadlines.

Job Type: Full-time

Pay: AED2,500.00 - AED3,000.00 per month
