Responsibilities
- Manage incoming calls, route promptly, and forward accurate messages via email
- Greet visitors professionally and ensure a welcoming environment
- Provide exceptional customer service and maintain a positive company image
- Handle incoming/outgoing mail and courier shipments; maintain tracking records
- Organize meeting room bookings, schedule, and assist with conference calls
- Coordinate travel arrangements, car rentals, and visitor accommodation as required
- Prepare access cards for new joiners and manage official email forwarding
- Maintain office supplies, stationery stock, and liaise with support staff and drivers
- Ensure reception and client areas are clean, presentable, and stocked with updated materials
- Uphold confidentiality, adhere to company policies, and perform other assigned duties
Requirements
- 2 5 years secretarial or administrative diploma
- Minimum 2 years’ experience in a similar role
- Excellent working knowledge of MS Office, Outlook and Internet browsing
- Sound knowledge of office procedures
- Working knowledge of record keeping techniques
- Excellent verbal and written communication skills in English
- Strong interpersonal skills with an ability to build rapport
- Good planning and organisation skills
- Ability to work independently and effectively as part of a team
- Ability to maintain confidentiality at all times
- Arabic speaking proficiency is a plus
