About the Role

Responsibilities
- Upload and manage property listings on major portals including Property Finder, Bayut, and Dubizzle
- Ensure all listings are compliant with Abu Dhabi Real Estate Centre (ADREC) regulations and Madhmoun system
- Work closely with brokers to update property availability, pricing, and high quality media
- Draft and prepare official real estate agreements, including sales and tenancy contracts, MoU, and listing agreements
- Process and register tenancy contracts through the Tawtheeq system
- Coordinate with developers for No Objection Certificates (NOCs) and prepare documents for property transfers via TAMM/DARI portals
- Maintain and clean the company's real estate CRM database
- Track leads, assign queries to active brokers, and log deal stages accurately
- Manage incoming calls, emails, and visitor inquiries, routing them to appropriate agents
- Provide direct administrative and schedule support to management and sales team
Requirements
- Minimum of 1 2 years of administrative experience specifically in a UAE real estate agency (Abu Dhabi experience highly preferred)
- Hands on experience with Abu Dhabi's Tawtheeq and TAMM/DARI platforms
- Proficiency with property portal backends (Bayut, Property Finder) and CRM software
- Strong computer literacy, including Microsoft Office (Excel, Word, Outlook)
- Excellent command of written and spoken English
- Strong multitasking abilities, attention to detail, and customer focused attitude
- Currently residing in Abu Dhabi

Overview
- We are looking for an organized, detail oriented, and proactive Real Estate Administrator to manage our daily office operations and coordinate transaction pipelines.
Key Responsibilities
- Upload and manage property listings on major portals including Property Finder, Bayut, and Dubizzle.
- Ensure all listings are fully compliant with the Abu Dhabi Real Estate Centre (ADREC) regulations and verified under the Madhmoun system.
- Work closely with brokers to update property availability, pricing, and high quality media.
- Draft and prepare official real estate agreements, including sales and tenancy contracts, MoU, and listing agreements.
- Process and register tenancy contracts through the government Tawtheeq system.
- Coordinate with developers for No Objection Certificates (NOCs) and help prepare documents for property transfers via the TAMM / DARI portals.
- Maintain and clean the company’s real estate CRM database (e.g., PropSpace, PF Expert, or Salesforce).
- Track leads, assign queries to active brokers, and log deal stages accurately.
- Manage incoming calls, emails, and visitor inquiries, routing them to the appropriate agents.
- Provide direct administrative and schedule support to management and the sales team.
- Organize and maintain physical and digital filing systems.
Requirements & Qualifications
- Experience: Minimum of 1–2 years of administrative experience specifically in a UAE real estate agency (Abu Dhabi experience is highly preferred).
- Hands on experience with Abu Dhabi’s Tawtheeq and TAMM/DARI platforms.
- Proficiency with property portal backends (Bayut, Property Finder) and CRM software.
- Strong computer literacy, including Microsoft Office (Excel, Word, Outlook).
- Excellent command of written and spoken English. Proficiency in Arabic, Russian, or Tagalog is a major advantage.
- Strong multitasking abilities, attention to detail under tight deadlines, and a customer focused attitude.
- Currently residing in Abu Dhabi.
