Responsibilities
- Receive and review Purchasing requests for completeness, business requirement, specification, coding, and supporting documentation
- Prepare and process RFQs, RFPs, Purchasing orders, and procurement documentation
- Obtain a minimum of three comparable quotes or documented sole source justification
- Source, evaluate, and negotiate with local and international suppliers for competitive pricing, quality, and favourable terms
- Conduct market research and supplier analysis to find cost saving opportunities
- Issue Purchasing orders after approval and track orders, deliveries, and supplier commitments
- Maintain approved vendor, quote, and Purchasing records; run supplier performance evaluations
- Manage supplier contract renewals, tracking notice periods and renewal dates
- Coordinate with project managers and site teams to identify material requirements and procurement schedules
- Monitor inventory and material availability; coordinate logistics for local and international shipments
- Check requests against approved budget lines; escalate non compliant or out of budget requests
- Maintain petty cash logs, asset register, and prepare procurement reports
Requirements
- Minimum 3–4 years in procurement, purchasing, administration, finance support, or shared services in the UAE
- Working knowledge of QuickBooks, strong Excel capability, and familiarity with SharePoint
- Strong documentation discipline and quote comparison ability
- Comfortable handling vendors and internal coordination firmly but professionally
- Degree in business, supply chain, or finance preferred (strong experience can substitute)
- Valid UAE driving licence preferred, or willingness to travel to project sites

Overview
- Worldwide Zoo Consultants is searching for a highly motivated, assertive, proactive, and organized Purchasing Officer.
- The Purchasing Officer will run the company’s day to day procurement and purchasing, control spend, and support the Finance team.
- Responsible to maintain the company’s asset register and support asset and inventory audits.
Key Responsibilities
- Purchasing and sourcing: Receive and review requests; prepare RFQs, RFPs, purchase orders; obtain quotes; source and negotiate with suppliers; issue purchase orders and track deliveries.
- Contracts, vendors, and renewals: Maintain vendor records; manage contract renewals; handle vendor portal registrations; monitor renewal dates for rental agreements and insurance.
- Projects and logistics: Coordinate with project managers and site teams; monitor inventory; coordinate logistics for shipments; maintain stock log.
- Control, budget, and payment: Check requests against budget; ensure compliance with UAE regulations; verify goods receipt; work with Finance for timely payments.
- Assets, petty cash, and reporting: Maintain petty cash logs; maintain asset register; prepare procurement reports and cost analyses.
Qualifications and experience
- Minimum 3–4 years in procurement, purchasing, administration, finance support, or shared services in the UAE.
- Working knowledge of QuickBooks, strong Excel capability, and familiarity with SharePoint.
- Strong documentation discipline and quote comparison ability.
- Comfortable handling vendors and internal coordination firmly but professionally.
- Purchasing request, petty cash, or Purchasing administration experience in an SME preferred.
- Degree in business, supply chain, or finance preferred. Strong experience can substitute.
- Valid UAE driving licence preferred, or willingness to travel to project sites.
