Role Overview
Support procurement administration for project-related agreements and purchase orders across multiple entities and projects.
Coordinate with cost control, vendors, finance, legal, and project teams to maintain accurate procurement records and controls.
Core Responsibilities
- Maintain a centralized folder and master tracker for signed agreements, including counterparties, values, dates, scope, owners, and status.
- Flag upcoming renewals, expiries, and gaps where a signed agreement is missing before a purchase order is issued.
- Update agreement records after amendments, extensions, or novations.
- Prepare purchase orders from signed agreements using cost controller inputs and correct project allocation, category, scope, and values.
- Own the purchase order lifecycle in the ERP through creation, approval follow-up, confirmation, and sharing with the requestor.
- Action purchase order revisions and maintain vendor records before purchase order issuance.
- Resolve vendor queries and apply standardized numbering, templates, and filing conventions across entities and projects.
Qualifications and Skills
- 3–5 years of experience in procurement, purchasing, or contracts administration.
- Experience in a multi-entity or project-based environment is preferred; energy, infrastructure, or construction experience is a strong plus.
- Experience with purchase order and ERP systems such as SAP, Oracle, Dynamics, or similar.
- Strong Excel skills.
- Working knowledge of contract terms and procurement controls, including approval matrices, segregation of duties, and audit trails.
- Highly organized and detail-oriented, with the ability to manage high volumes accurately.
- Good communication skills for coordination with vendors, finance, legal, and project teams across jurisdictions.
- Bachelor's degree in business, supply chain, finance, or a related field, or equivalent practical experience.
