Overview

At Taif Group, we are looking for an exceptional Personal Assistant (PA) to the Chairman who thrives in a fast-paced, high-performance environment and can operate with precision, discretion, and strong business awareness.

This role goes beyond traditional administrative support — it is a strategic position requiring ownership, initiative, and the ability to keep pace with executive priorities in a growing luxury fragrance company.

Executive & Calendar Management

  • Manage and optimize the Chairman’s complex calendar, ensuring efficient scheduling and prioritization
  • Coordinate internal and external meetings across multiple departments and time zones
  • Anticipate scheduling conflicts and proactively resolve them

Communication & Representation

  • Serve as the gatekeeper and primary liaison between the CEO and senior management, partners, and VIP clients
  • Draft and review high-level correspondence, emails, and official communications
  • Ensure all communications reflect professionalism and brand standards

Meeting & Reporting Management

  • Prepare detailed meeting agendas, presentations, and executive summaries
  • Attend key meetings when required, take accurate minutes, and track action points
  • Follow up with stakeholders to ensure timely execution of decisions

Travel & Logistics Coordination

  • Arrange comprehensive travel plans (flights, hotels, visas, transportation)
  • Prepare detailed travel itineraries and briefing documents
  • Manage last-minute changes efficiently

Confidentiality & Sensitive Matters

  • Handle highly sensitive information including business strategies, financial data, and contracts
  • Maintain strict confidentiality and secure documentation systems

Business & Operational Support

  • Track ongoing projects and strategic initiatives across departments
  • Follow up on KPIs, reports, and deliverables with department heads
  • Assist the Chairman in monitoring overall business performance

Event & Vip Coordination

  • Support organization of brand events, perfume launches, and exhibitions
  • Coordinate VIP guest experiences and high-profile meetings
  • Ensure flawless execution aligned with luxury brand standards

Administrative Excellence

  • Manage filing systems, records, and executive documentation
  • Screen calls, prioritize tasks, and ensure smooth daily operations
  • Handle expense reports and basic executive office administration

What We’re Looking For

  • 3–5+ years of experience supporting C-level executives
  • Strong ability to multitask and work under pressure
  • Exceptional organizational and problem-solving skills
  • High level of discretion and professionalism
  • Strong written and verbal communication skills (English required, Arabic is a plus)
  • Experience in luxury, retail, or fragrance industry is an advantage
