- Handle daily instructions and assignments from the Head of Department
- Manage schedules, meetings, calls, reminders, and follow ups
- Prepare documents, letters, presentations, reports, and basic spreadsheets
- Coordinate meetings with clients, partners, candidates, suppliers, and internal teams
- Present the holding company’s real estate investment products to potential clients
- Communicate with leads, investors, brokers, and partners
- Maintain a sales pipeline and report progress to the Head of Department
- Organize interviews with candidates and maintain recruitment trackers
Requirements
- Previous experience as a personal assistant, administrative assistant, sales assistant, or executive assistant
- Strong communication skills in English
- Good knowledge of MS Office, Google Workspace, Excel, Word, and basic CRM tools
- Strong organizational skills and attention to detail
- Ability to handle multiple tasks simultaneously
- Russian language is an advantage
- Experience in real estate, investment products, brokerage, or client sales is an advantage
- Valid UAE driving license is an advantage

Job Description
- We are looking for a proactive, reliable, and highly organized Personal Assistant to the Head of Department to support daily business, administrative, personal, and sales related tasks.
- This is a dynamic role combining executive assistance, coordination, client communication, recruitment support, and sales of the holding company’s investment products in the real estate sector.
Key Responsibilities
- Handle daily instructions and assignments from the Head of Department.
- Assist with both business and personal tasks.
- Manage schedules, meetings, calls, reminders, and follow ups.
- Prepare documents, letters, presentations, reports, and basic spreadsheets.
- Coordinate meetings with clients, partners, candidates, suppliers, and internal teams.
- Arrange appointments, transportation, deliveries, bookings, and other operational tasks.
- Follow up on pending matters and ensure tasks are completed on time.
- Maintain confidentiality of all business and personal information.
- Organize interviews with candidates for different positions.
- Communicate with applicants, schedule interviews, and collect CVs/documents.
- Maintain candidate lists and recruitment trackers.
- Assist with onboarding, document collection, and internal coordination.
Requirements
- Previous experience as a personal assistant, administrative assistant, sales assistant, or executive assistant.
- Strong communication skills in English.
- Russian language is an advantage.
- Experience in real estate, investment products, brokerage, or client sales is an advantage.
- Good knowledge of MS Office, Google Workspace, Excel, Word, and basic CRM tools.
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks at the same time.
- Confident communication with clients and business partners.
- Ability to work under pressure and meet deadlines.
- Professional appearance and business etiquette.
