Key Responsibilities

  • Research and book flights, including managing changes, upgrades, and itinerary logistics.
  • Book and coordinate hotel stays, transfers, and on ground arrangements.
  • Prepare visa application documentation, complete forms, and track application timelines.
  • Manage the Founders’ calendar, including scheduling meetings, resolving conflicts, and protecting focus time.
  • Attend meetings as needed, take accurate minutes, and track follow up actions to completion.
  • Filter incoming email, flag priorities, and draft or send replies on the Founder's behalf when required.
  • Maintain organized digital records of all key business licenses, permits, and renewal deadlines, ensuring nothing lapses.
  • Schedule personal appointments (medical, beauty, fitness, and other).
  • Maintain organized digital records of all personal documents (passports, IDs, insurance, contracts).
  • Pay routine bills on time and keep clear records of payments.
  • Assist with event planning — managing vendors, coordinating deliveries, and processing payments.
  • Coordinate with household staff, communicating schedules, tasks, and priorities.

Working Hours & Arrangement

  • Full time role in Dubai.
  • Hours: 9:00 AM – 6:00 PM, Monday to Friday; must remain reachable outside these hours.
  • Saturdays: Required only on an exceptional basis for meetings or events.
  • Sundays: Contacted only in cases of emergency.
  • Hybrid: Flexible location. You may work from our office or from your own home; some travel may be required.

Salary

  • AED 6,000 – AED 8,000 based on experience.
