Role Overview

Manage patient administration and reception activities in a hospital setting.

Support registration, appointments, insurance inquiries, payments, billing, records, and patient service.

Patient Administration

  • Greet patients, direct them to departments, and provide routine hospital information.
  • Handle telephone inquiries and route information to doctors or nurses for callbacks.
  • Manage appointment confirmations, rescheduling, and no-shows.
  • Register new patients and keep current patient records up to date.
  • Maintain working knowledge of clinic schedules, appointment durations, doctor rosters, and booking procedures.

Insurance and Payments

  • Explain medical insurance coverage and collect payments or co-payments based on insurance eligibility.
  • Provide claim forms for reimbursement requests.
  • Facilitate daily cash, card-slip, and cheque deposits according to finance protocols.

Billing Responsibilities

  • Generate and process invoices for consultations, treatments, and diagnostic tests.
  • Ensure charges, dates, and service codes are accurately recorded in patient accounts.
  • Issue bills and statements for co-pays, deductibles, outstanding balances, and non-covered services.
  • Explain patient charges and available payment options.

Requirements and Compliance

  • Maintain accurate patient data and staff confidentiality in compliance with privacy regulations.
  • Follow hospital policies, finance protocols, insurance requirements, infection-control procedures, patient-safety standards, and JCI requirements.
  • Work assigned shifts, including different timings based on departmental needs.
  • Use effective interpersonal skills with patients, colleagues, staff, and management.

Quality and Service

  • Respond to email and patient queries promptly.
  • Handle complaints in a structured, timely, professional, fair, courteous, and privacy-respecting manner.
  • Participate in hospital training, continuous quality improvement, and quality assurance activities.
  • Maintain a safe and clean reception area and follow the duty roster for reception, telephone, cash, and back-office work.
