About the Role

  • We are looking for a highly organised, proactive, and execution focused Operations Manager to lead and coordinate operations across the full business portfolio, including SupportRoom and VAI.
  • This role is responsible for ensuring smooth, consistent, and efficient day to day operations across all business units while directly managing a small team.
  • You will own execution across recruitment operations, onboarding, contracts, systems access, subscriptions, sales operations, finance administration, task management, materials delivery, and cross functional alignment.
  • You will act as the central operational hub of the business, working closely with Leadership, Sales, Marketing, Product, Technology, Customer Success, and Finance teams.

Key Responsibilities

  • Ensure smooth day to day operations across all business units
  • Coordinate activities across SupportRoom and VAI
  • Ensure leadership priorities are executed across the group
  • Identify and resolve operational bottlenecks quickly
  • Maintain operational consistency as the group scales
  • Ensure alignment across departments and product lines
  • Directly manage the Operations team
  • Assign, prioritise, and monitor operational tasks across the team
  • Conduct weekly planning and review meetings
  • Ensure workloads are balanced and execution is consistent
  • Support team members in operational delivery
  • Create accountability and ownership across the team

Project & Task Management

  • Own and manage ClickUp and group wide task management systems
  • Ensure all departments maintain accurate task tracking
  • Follow up on overdue actions and deliverables
  • Track execution of priorities across all business units
  • Maintain dashboards, trackers, and operational reporting systems
  • Provide visibility to leadership on progress, risks, and blockers

Recruitment, Contracts & Onboarding

  • Coordinate recruitment administration and hiring logistics
  • Manage contracts for employees and contractors
  • Ensure onboarding processes are completed smoothly across all entities
  • Coordinate access provisioning, system setup, and tool onboarding
  • Maintain onboarding documentation and materials
  • Ensure all new hires are fully operational and supported

Systems, Access & Subscription Management

  • Manage company wide software subscriptions and licenses
  • Coordinate access management across all systems and tools
  • Ensure operational platforms remain organized and functional
  • Support setup of new tools across business units
  • Maintain records of renewals, licenses, and subscriptions

Sales & Commercial Operations

  • Track sales team activity and KPI performance across the group
  • Monitor pipeline activity, meetings booked, and opportunities
  • Produce operational reports and dashboards for leadership
  • Ensure Hubspot CRM data accuracy and consistency
  • Support sales execution and follow up processes
  • Assist with commercial operations

Finance & Administrative Operations

  • Track operational expenses, subscriptions, and payments
  • Coordinate invoice processing and financial administration
  • Maintain accurate operational financial records
  • Support leadership with budgeting visibility and reporting
  • Ensure operational compliance and documentation accuracy

Cross Functional Coordination

  • Meet regularly with Sales, Marketing, Product, Technology, and Leadership teams
  • Ensure alignment across priorities and deadlines
  • Translate strategic objectives into operational execution
  • Track progress across all departments and business units
  • Facilitate communication between teams and leadership

Marketing & Content Operations

  • Ensure marketing execution is coordinated across all business units
