Role Overview

We are looking for a highly organized and detail-oriented

Operations Executive

to manage the daily operational workflow of digital prepaid products.

The ideal candidate will be responsible for accurate order processing, supplier coordination, customer support, and operational reporting.

This is a hands-on role that requires strong communication skills, analytical ability, and a proactive attitude in a fast-paced environment.

1. Order Processing & Fulfillment

  • Process orders across API, client portal, and bulk requests with high accuracy.
  • Validate inventory availability and ensure timely delivery of digital codes.
  • Conduct quality checks to avoid code duplication, mismatches, or denomination errors.
  • Maintain logs and ensure all orders meet internal SLA standards.

2. Supplier & Inventory Coordination

  • Liaise with suppliers for code procurement, replenishment, and issue resolution.
  • Track supplier balances and reconcile code deliveries with internal records.
  • Monitor supplier performance and highlight delays or recurring issues.
  • Escalate critical supplier bottlenecks to management when required.

3. Customer Support & Issue Resolution

  • Respond to client inquiries regarding orders, codes, or account status.
  • Investigate issues such as failed codes, incorrect brand deliveries, or slow API responses.
  • Provide timely updates and ensure clear communication with corporate and enterprise clients.
  • Maintain service quality to ensure high customer satisfaction.

4. Reporting & Operational Analysis

  • Prepare daily/weekly/monthly operational reports (order volumes, failures, SLAs, tickets).
  • Analyze data to identify errors, delays, or operational inefficiencies.
  • Share insights and support continuous improvement initiatives.
  • Assist the finance team with stock, code, and supplier reconciliation.

5. Process Improvement

  • Recommend improvements to streamline operational workflow and reduce manual effort.
  • Maintain updated SOPs to reflect ongoing process enhancements.
  • Suggest automation opportunities to enhance order accuracy and speed.
  • Support implementation of new tools or system enhancements affecting operations.

Preferred Skills

  • Experience in gift card/digital voucher fulfillment is a strong advantage.
  • Knowledge of APIs, digital delivery systems, or automated order workflows.
  • Understanding of reconciliation processes for digital products.
  • Strong organizational and documentation capabilities.

Qualifications And Experience

  • Bachelor’s degree in Operations, Business Administration, Finance, or related field.
  • 2–4 years of experience in operations, preferably in digital goods, fintech, e-commerce, telecom, or prepaid products.
  • Strong communication and coordination skills for dealing with suppliers and clients.
  • High attention to detail, especially when working with digital codes and financial data.
  • Proficiency in MS Excel/Google Sheets and familiarity with ERP or order management systems.
  • Ability to work under pressure during peak order seasons.
  • Strong problem-solving and analytical mindset.
