- Assist in preparation, review, and updating of operational documents and reports
- Support Operations Manager in operational requirements and facilities coordination
- Collaborate with departments for operational efficiency, including trip coordination and procurement
- Maintain records of operational activities and ensure documentation is up to date
- Conduct regular facility inspections and oversee building cleanliness, maintenance, and systems
- Monitor external contractors and ensure vendor performance aligns with contracts and safety standards
- Promote health and safety culture and ensure compliance with local regulations
- Support with inventories, reviewing invoices, and purchasing equipment or materials
- Assist with renovations, space planning, and team relocations
Requirements
- Bachelor's degree or diploma in Business Administration, Operations Management, or related field
- 1 3 years of experience in administrative or operations support role (preferred)
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Excellent written and spoken English

About the Role
- The Operations Assistant will support daily operational functions of the international school, ensuring smooth and efficient running of administrative, policy implementation, and school activities
Key Responsibilities
- Assist in preparation, review, and updating of operational documents and reports
- Support Operations Manager in all operational requirements and facilities coordination
- Collaborate with various departments to ensure operational efficiency and compliance
- Maintain records of operational activities and ensure documentation is up to date
- Conduct regular facility inspections and oversee building cleanliness, maintenance, repairs, HVAC, electrical, plumbing, and mechanical systems
- Monitor work of external contractors and trades, ensuring vendor performance aligns with contracts and safety standards
- Promote a strong health and safety culture, ensuring compliance with local fire, health, and accessibility regulations
- Support with inventories, reviewing invoices, and purchasing equipment or materials
- Assist with renovations, space planning, and team relocations
Qualifications
- Bachelor's degree or diploma in Business Administration, Operations Management, or a related field
- 1–3 years of experience in an administrative or operations support role (preferred)
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Experience with ERP, CRM, or operational management systems is an advantage
- Excellent written and spoken English required
