Office Coordinator

Key Responsibilities

• Coordinate daily office activities and administrative tasks.
• Coordinate with site engineers, supervisors, technicians, clients, and suppliers.
• Maintain project files, employee records, attendance, and office documentation.
• Follow up with clients regarding quotations, appointments, payments, and project requirements.
• Coordinate site visits, inspections, material deliveries, and manpower requirements.
• Prepare daily and weekly reports and maintain project trackers.
• Handle emails, phone calls, WhatsApp communication, and general correspondence.
• Assist management with scheduling, documentation, and follow-ups.
• Maintain proper filing of company and project documents.
• Support the accounts and administration team with basic documentation and record keeping.
• Perform other administrative and coordination duties as required.

Requirements

• Minimum 2–3 years of experience in office coordination, administration, project coordination, or a similar role.
• UAE experience is preferred, especially in contracting, maintenance, fit-out, renovation, or construction.
• Good knowledge of MS Office, especially Excel and Word.
• Good written and verbal English communication skills.
• Ability to prepare professional emails, reports, and documents.
• Strong organizational and time-management skills.
• Ability to coordinate with multiple teams and handle several tasks simultaneously.
• Good follow-up and problem-solving skills.
• Knowledge of basic construction, MEP, or maintenance terminology is an advantage.
• Must be able to work under pressure and meet deadlines.
