Job Summary
The Maintenance Administrative Officer is responsible for supporting the maintenance department by handling administrative tasks, coordinating maintenance requests, and ensuring smooth day-to-day operations of facility maintenance activities.
The role requires basic technical knowledge of maintenance work and strong organizational skills to track, schedule, and document all maintenance-related activities.
Key Responsibilities
- Receive, record, and track maintenance requests from staff or departments
- Coordinate with technicians and maintenance teams for job assignments and follow-ups
- Prepare and maintain maintenance schedules and service logs
- Monitor ongoing maintenance work to ensure timely completion
- Maintain records of equipment servicing, repairs, and preventive maintenance
- Follow up with suppliers and contractors for quotations, work orders, and service updates
- Assist in procurement requests for maintenance materials and spare parts
- Ensure proper documentation of completed jobs and reports
- Maintain inventory records of maintenance tools and consumables
- Support compliance with safety procedures and company maintenance standards
- Communicate with internal departments regarding maintenance status updates.
Requirements
- Proven experience in an administrative or maintenance coordination role
- Basic knowledge of building maintenance, repairs, or facility operations
- Good understanding of maintenance workflows (preventive and corrective maintenance)
- Strong organizational and time-management skills
- Proficient in MS Office (Excel, Word, Outlook)
- Good communication and coordination skills
- Ability to multitask and handle urgent maintenance issues
- Attention to detail and accuracy in record-keeping
Preferred Qualifications
- Diploma or degree in Business Administration, Facilities Management, or related field
- Experience in FM companies, construction, or maintenance services is an advantage
- Pay: From AED3,000.00 per month
