ESSENTIAL DUTIES AND RESPONSIBILITIES Greets visitors and direct them to appropriate HR staff members Answers phones, take messages, and respond to general HR inquiries Assists in organizing and maintaining confidential personnel files Performs data entry tasks, including updating employee records and spreadsheets Supports HR events and programs such as employee orientations or trainings Copies, scans, and files HR documents and forms accurately Maintains inventory of office supplies and assist in ordering when necessary Upholds confidentiality and ensures compliance with college policies and procedures Assists with special projects Other duties as assigned MARKETABLE SKILLS ATTAINED Professional Communication – Practice clear, courteous, and effective verbal and written communication in an office setting Confidentiality & Ethics – Gain experience handling sensitive information responsibly and ethically Office Administration – Develop familiarity with standard administrative processes and tools Organizational Skills – Improve document management, task tracking, and prioritization Customer Service – Learn to assist a diverse population of employees and students with professionalism and care Team Collaboration – Work closely with HR professionals and contribute to departmental goals REQUIRED QUALIFICATIONS High school diploma or GED Applicant must be currently enrolled in Alvin College Student must have a minimum 2.0 GPA at the time of application Student employees must maintain a minimum semester 2.0 GPA Student employees must maintain a minimum of six credit hours during the semester(s) of employment Students placed on disciplinary probation or have an Academic Dishonesty sanction are ineligible An applicant, not enrolled in the summer, may be employed if he or she has been enrolled in a minimum of six hours in the preceding spring semester or can show evidence of plans to enroll in the succeeding fall semester PREFERRED QUALIFICATIONS Students currently enrolled in the Alvin College Bachelor’s of Business Administration program Bilingual – English/Spanish KNOWLEDGE, SKILLS, AND ABILITIES Basic understanding of office procedures and computer applications (e.g., Microsoft Word, Excel, Outlook) Awareness of workplace confidentiality and professional conduct Strong attention to detail and organizational skills Effective time management and ability to multitask Good written and verbal communication skills Ability to work independently and follow directions with minimal supervision Ability to handle sensitive or confidential information appropriately Ability to interact respectfully with people from diverse backgrounds Disclaimer: This job posting is intended to describe the general nature and level of work being performed and is not a complete list of all duties, responsibilities, or qualifications required for the position.
