Responsibilities
- Coordinate with onboarding team for timely processing of employment visas from offer acceptance till Emirates ID issuance
- Track progress of visa applications and maintain accurate records of immigration related documents
- Coordinate with department managers for timely confirmation and approvals for employee visa renewals
- Follow up on visa, Emirates ID, medical, and labour document expiry dates to ensure compliance
- Liaise with internal stakeholders and PRO team for smooth visa processing and renewals
- Prepare, issue, and maintain employee letters and HR documents (warning letters, salary transfer letters, certificates, NOC, experience letters, etc.)
- Maintain and update employee records in HRMS and personnel files
- Respond to employee queries related to HR documentation and visa status
- Monitor visa and Emirates ID expiry reports and initiate renewal processes proactively
- Support HR audits by maintaining complete and accurate employee records
Requirements
- Experience in visa and immigration coordination
- Knowledge of UAE Labour Law and compliance
- Proficiency in HRMS and Microsoft Office
- Excellent communication and organizational skills
- Ability to maintain confidentiality

Overview
- Work Location: Sterling Perfumes, DIP
- Work Timing: 8AM to 5PM
- Salary Range: 3000 to 4000
Visa & Immigration Coordination
- Coordinate with the onboarding team to ensure timely processing of employment visas from offer acceptance till Emirates ID (EID) issuance.
- Track the progress of visa applications and maintain accurate records of all immigration related documents.
- Coordinate with the respective department managers to obtain timely confirmation and approvals for employee visa renewals.
- Follow up on visa, Emirates ID, medical, and labour document expiry dates to ensure compliance with UAE regulations.
- Liaise with internal stakeholders and the PRO team to facilitate smooth visa processing and renewals.
Employee Documentation
- Prepare, issue, and maintain employee letters and HR documents, including: Warning Letters, Salary Transfer Letters (STL), Salary Certificates, Employment Certificates, No Objection Certificates (NOC), Experience Letters, Visa related letters and other HR correspondence.
- Ensure all employee documentation is accurate, approved, and issued within the required timelines.
HR Administration
- Maintain and update employee records in the HRMS and personnel files.
- Ensure all employee documents are complete and compliant with company policies and statutory requirements.
- Respond to employee queries related to HR documentation and visa status.
- Maintain confidentiality of employee information and HR records.
Compliance & Coordination
- Monitor visa and Emirates ID expiry reports and initiate renewal processes proactively.
- Coordinate with internal departments to ensure smooth employee onboarding and documentation.
- Support HR audits by maintaining complete and accurate employee records.
- Ensure compliance with UAE Labour Law and company policies in all HR documentation and visa related processes.
