Job Purpose
The HR Associate is responsible for providing comprehensive Human Resources support across all HR functions, including Talent Acquisition, Onboarding, Employee Relations, HR Operations, Payroll Coordination, HRMS Administration, Employee Engagement, Performance Management, Compliance, and HR Reporting.
The role will work closely with the Group Head of HR to ensure smooth HR operations across the organization while maintaining compliance with UAE Labour Law, company policies, and best HR practices.
1. Recruitment & Talent Acquisition
- Source candidates through job portals, LinkedIn, social media platforms, employee referrals, recruitment agencies, and networking channels.
- Prepare and post job advertisements.
- Screen applications and shortlist suitable candidates.
- Conduct initial HR screening interviews.
- Coordinate technical and management interviews.
- Conduct reference checks and background verification.
- Prepare recruitment reports and hiring trackers.
- Coordinate offer approval processes.
- Prepare and issue offer letters.
- Maintain candidate database and talent pipeline.
2. Onboarding & Induction
- Manage complete onboarding process from offer acceptance to joining.
- Prepare employment contracts and joining documentation.
- Coordinate visa, labour card, Emirates ID, medical insurance, and onboarding requirements.
- Coordinate employee induction and orientation programs.
- Coordinate workstation allocation and joining logistics.
- Create employee files and HRMS records.
- Ensure all joining documents are completed before the employee’s start date.
3. HR Operations & Employee Administration
- Maintain employee personal files and digital records.
- Update employee information in HRMS.
- Process employee status changes including promotions, transfers, salary revisions, and confirmations.
- Prepare HR letters including:
- Salary Certificates
- Employment Certificates
- NOCs
- Experience Letters
- Warning Letters
- Maintain employee database and documentation.
- Ensure document confidentiality and data security.
- Support HR audits and compliance reviews.
4. Payroll & Attendance Management
- Maintain attendance records and timesheets.
- Monitor employee leave balances.
- Verify payroll inputs including:
- Attendance
- Overtime
- Leave Deductions
- Unpaid Leave
- Salary Adjustments
- Incentives and Allowances
- Generate attendance.
- Support final settlement calculations and documentation.
5. Employee Relations
- Serve as the first point of contact for employee HR-related queries.
- Assist in handling employee grievances and concerns.
6. Employee Engagement & Culture
- Plan and coordinate employee engagement activities.
- Organize employee celebrations and recognition programs.
- Coordinate birthday, anniversary, and festival celebrations.
- Prepare engagement newsletter
- Support employee wellness initiatives.
- Maintain employee engagement calendar.
7. Performance Management Support
- Coordinate probation reviews and employee confirmations.
- Track performance appraisal schedules.
- Maintain appraisal documentation.
- Follow up with managers regarding pending evaluations.
8. Learning & Development
- Coordinate training programs.
- Maintain employee training records.
- Track training attendance and completion.
- Coordinate external training providers.
9. Compliance & UAE Labour Law Administration
- Ensure compliance with UAE Labour Law and company policies.
- Maintain statutory employee records.
- Support labour inspections and audits.
- Monitor visa and labour document expiry dates.
- Coordinate renewals with PRO team.
- Ensure HR documentation complies with legal requirements.
- Maintain compliance trackers and reports.
10. HRMS & Digital HR Administration
- Maintain accurate employee records in HRMS.
- Generate HR reports and dashboards.
- Monitor HRMS data accuracy.
- Support HR automation initiatives.
- Assist in HR digital transformation projects.
- Ensure timely updates of employee records and transactions.
11. Reporting & Analytics
- Prepare weekly and monthly HR reports.
- Generate reports relating to:
- Recruitment
- Headcount
- Attrition
- Attendance
- Leave
- Employee Movements
- Visa Status
- Training
- Performance Management
- Prepare management presentations and HR dashboards.
- Analyze HR data and provide recommendations.
Education
- :
- Bachelor’s Degree in Human Resources, Business Administration, Management, or related field.
Skills
- Technical skills in Recruitment & Talent Acquisition, HRMS Administration, payroll coordination,
Experience
- 3–5 years of relevant HR experience.
- UAE experience preferred.
- Experience in recruitment, onboarding, HR operations, payroll coordination, Documentation management with good communication skills, problem solving and teamwork collaboration skills.
