Job Summary

  • HR Coordinator role at Albinora Consulting FZE in Abu Dhabi.

Recruitment & Deployment

  • Prepare offer letters for selected applicants
  • Liaise with applicants on completing necessary documents for labour approvals and visas
  • Ensure relevant staff documents are scanned and placed on the sharing folder / HRMS
  • Liaise with GROs for processing staff labour approvals and visas
  • Update applicants and operations with labour approval/visa processing status
  • Arrange applicants' medical check and Emirates ID for visa processing
  • Forward visa related documents to applicants and update operations for deployment
  • Arrange medical insurance cards for employees once deployed or as per HAAD requirement
  • Ensure all new employees' information is maintained and updated in HRM system
  • Ensure all employees' documents are filed and uploaded to relevant folders/systems

Visa / Passport Renewal

  • Run monthly reports on visa and passport expiration dates two months in advance
  • Follow up with staff regarding passport renewal within time frame
  • Ensure staff are provided with original or copy of renewed passport
  • Collect all documents required for visa renewals and upload to Sharing Folder/HRM system
  • Submit documents to GROs to process visa renewals at least three weeks before expiration
  • Follow up with GROs regarding renewed visas and labour cards
  • Update staff throughout visa and labour card renewal process
  • Notify staff once renewals are completed and provide copies of renewed documents

Queries, Complaints and Updates

  • Log and respond to all staff queries and complaints through relevant system or HRM system
  • Log all queries and complaints in the grievance system
  • Respond to staff with grievance number for future follow ups
  • Liaise with different teams regarding queries and complaints
  • Escalate unresolved issues within 48 hours or less
  • Ensure email updates are sent to staff throughout the process
  • Update grievances system until case is closed
  • Run daily, weekly and monthly reports to follow up on pending grievances

Database and Files Maintenance

  • Ensure all staff information is updated promptly in HRM system
  • Ensure all requests received are updated in HRM system when required
  • Conduct monthly data cleansing to HRM system
  • Update relevant log sheets when needed
  • Ensure all staff files are maintained, checked and updated regularly

Required Skills

  • Proven experience as an HR coordinator or relevant human resources/administrative position
  • Knowledge of human resources processes and best practices
  • Strong ability in using MS Office
  • Experience with HR databases
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • BSc/BA in Business Administration or relevant field; additional education in Human Resource Management will be a plus
