Job Description

Proposal Administration

• Support monitoring and maintaining the proposals/tender inbox, ensuring timely logging, allocation, and response to incoming opportunities and correspondence.
• Demonstrate reliability and good attention to detail.
• Assist in tracking clarifications, addenda, and amendments, ensuring they are circulated to the wider team.
• Escalate urgent opportunities or issues to senior bid staff or management when required.
• Support the distribution of bid-related communications and updates to stakeholders.

Pre-Qualification & Expressions Of Interest

• Assist in coordinating and preparing PQQ and EOI submissions in line with client requirements.
• Support compiling and maintaining up-to-date company information, certifications, policies, and standard submission documents.
• Assist with managing submission processes through client tender portals, ensuring compliance with requirements.
• Support tracking submission progress and maintaining records in the bid register.

Bid Coordination Support

• Provide administrative support to Work Winning Partners, including document formatting, proofreading, and basic compliance checks.
• Assist in compiling CVs, project references, and supporting materials for proposals.

Qualifications

• UAE National (with valid Family Book).
• Bachelor’s degree in Business Engineering, or a related field.
• Recent graduate or up to 1 year of relevant internship or experience in bids, proposals, or a related area.
• Excellent command of English and Arabic (written and verbal).
• Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with SharePoint, Aconex, or similar platforms is a plus.
• Strong organisational skills, attention to detail, and ability to work to deadlines.
