- Manage daily office administration and ensure smooth business operations
- Oversee day to day operations of the company's building and facilities
- Coordinate preventive and corrective maintenance, office renovations, fit outs, space planning, and facility improvement projects
- Supervise security, housekeeping, maintenance, and other facility support services
- Process and manage JAFZA permits, gate passes, and contractor access
- Coordinate and supervise vendors, contractors, and third party service providers
- Develop, implement, and maintain SOPs, operational procedures, and workflow improvements
- Prepare and maintain operational checklists, conduct routine facility inspections and internal audits
- Ensure compliance with health, safety, environmental, and facility regulations
Requirements
- Bachelor's degree or diploma in Business Administration, Facilities Management, Engineering, or related field
- Proven experience in office administration and facilities management
- Experience managing commercial building operations preferred
- Working knowledge of JAFZA permit processes and regulatory requirements
- Strong knowledge of building facilities and office operations
- Experience managing security, housekeeping, maintenance, and facility support services
- Vendor and contractor management experience
- Experience developing SOPs, operational procedures, and compliance documentation
- Strong inspection, auditing, and reporting skills
- Excellent organizational, communication, and problem solving abilities
- Proficiency in Microsoft Office applications, advanced Excel skills

Roles & responsibilities
- Manage daily office administration and ensure smooth business operations, including office supplies, assets, records, documentation, and employee administrative support.
- Oversee the day to day operations of the company's building and facilities, ensuring infrastructure, utilities, and common areas are safe, functional, and well maintained.
- Coordinate preventive and corrective maintenance, office renovations, fit outs, space planning, and facility improvement projects.
- Supervise security, housekeeping, maintenance, and other facility support services while monitoring service quality and timely resolution of facility issues.
- Process and manage JAFZA permits, gate passes, and contractor access, ensuring compliance with regulatory and company requirements.
- Coordinate and supervise vendors, contractors, and third party service providers, including obtaining quotations, scheduling work, monitoring performance, and verifying completed work.
- Develop, implement, and maintain SOPs, operational procedures, process documentation, and workflow improvements for administration and facilities management.
- Prepare and maintain operational checklists, conduct routine facility inspections and internal audits, identify non conformities, recommend corrective actions, and prepare audit reports.
- Ensure compliance with health, safety, environmental, and facility regulations by conducting safety inspections, supporting emergency preparedness, and monitoring contractor compliance with safety standards.
Desired candidate profile
- Bachelor's degree or diploma in Business Administration, Facilities Management, Engineering, or a related field.
- Proven experience in office administration and facilities management.
- Experience managing commercial building operations is preferred.
- Working knowledge of JAFZA permit processes and regulatory requirements.
