About the Role
We are seeking an Office Secretary to manage schedules, documents, correspondence, and day-to-day office operations while supporting the CEO and coordinating across teams. The ideal candidate has 1-3 years of secretarial experience, proficiency in Microsoft Office, and fluency in English.

- Manage the CEO's and leadership's calendars, appointments and meetings; prepare agendas, take notes and track follow ups
- Handle incoming calls, emails and messages; draft and route communication to the right person
- Organise and maintain physical and digital records — contracts, agreements, invoices and reports — accurately and confidentially
- Coordinate between the sales, fleet operations and management teams
- Greet and assist visitors, clients and partners professionally
- Manage office supplies, procurement and vendor coordination
- Assist with staff and rider onboarding paperwork, document preparation and HR/admin filing
- Prepare, format and proofread documents, letters and presentations
- Arrange bookings, travel and appointments as needed
- Handle ad hoc administrative tasks to support the team
Requirements
- High school diploma or Bachelor's degree; a secretarial or administration certificate is a plus
- 1–3 years' experience as a secretary, administrative assistant or office coordinator (UAE experience preferred)
- Proficiency in Microsoft Office — Word, Excel, PowerPoint and Outlook
- Fluent English (written and spoken)
- Excellent organisation, time management and multitasking skills
- Professional communication and the discretion to handle confidential information
- Proactive, reliable and comfortable in a fast paced startup environment

Role Summary
