Role Overview
The role is the Founder’s second brain and single point of coordination across an AI automation SaaS platform, a software development company, a creative and social media agency, and a personal coaching brand.
The position requires managing shifting priorities and constant context-switching across multiple businesses.
Core Responsibilities
- Own the Founder’s calendar, including scheduling, rescheduling, focus-time protection, and conflict resolution.
- Convert voice notes and dictated messages into clear, organized tasks.
- Track and follow up on open items across the Founder’s businesses.
- Coordinate with HR, developers, vendors, candidates, and the wider team.
- Prepare the Founder for calls and meetings.
- Manage work travel, bookings, and logistics.
- Triage inbox and WhatsApp messages, flag urgent items, and draft first-pass replies.
- Maintain a list of overdue, upcoming, and forgotten items.
- Manage documents, contracts, and files for fast retrieval.
- Represent the Founder professionally with team members, vendors, and clients.
Required Qualifications
- Three or more years of experience as an Executive Assistant, Personal Assistant, or in a similar role.
