- Arrange meeting room hospitality including refreshments and setup
- Coordinate VIP visits, corporate events, and company gatherings
- Liaise with vendors, caterers, and facility management
- Maintain professional and welcoming office environment
- Provide comprehensive support to senior management
- Manage executives' calendars, appointments, and meeting schedules
- Prepare reports, presentations, and correspondence
- Handle calls, emails, and communications professionally
- Maintain organized filing systems for confidential documents
- Draft, proofread, and format professional letters, reports, and meeting minutes
- Oversee office supplies and support daily operations
Requirements
- Minimum 2 years experience as Executive Assistant, Personal Secretary, Front Office Executive, or Guest Relations Executive
- Western European or other international candidates with strong executive presence
- Impeccably presented with polished, professional appearance
- Confident engaging with senior executives, VIP guests, and international clientele
- Experience in hospitality, VIP hosting, or luxury customer service strongly preferred
- High level of discretion and confidentiality
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Currently based in Dubai (mandatory)
- Fluent in English (mandatory)

About the Role
- We are seeking a polished, confident, and highly professional Executive Assistant cum Personal Secretary to support our senior leadership team.
- Serve as the welcoming face of our organisation at our World Trade Center, Dubai office.
Hospitality & Guest Relations
- Welcome clients, guests, and VIP visitors with warmth, professionalism, and exceptional service.
- Arrange meeting room hospitality including refreshments, setup, and overall presentation.
- Coordinate VIP visits, corporate events, and company gatherings.
- Liaise with vendors, caterers, and facility management for seamless hospitality delivery.
- Maintain a professional, elegant, and welcoming office environment at all times.
Executive Assistant Duties
- Provide comprehensive and proactive support to senior management.
- Manage executives' calendars, appointments, and meeting schedules.
- Prepare reports, presentations, and correspondence with high attention to detail.
- Handle calls, emails, and communications professionally on behalf of executives.
Secretarial & Office Duties
- Maintain organised digital and physical filing systems for confidential documents.
- Draft, proofread, and format professional letters, reports, and meeting minutes.
- Record accurate meeting minutes and follow up on action items.
- Oversee office supplies and support smooth daily operations.
- Serve as the primary point of contact for all internal and external communications.
Requirements
- Minimum 2 years' experience as an Executive Assistant, Personal Secretary, Front Office Executive, or Guest Relations Executive.
- Western European and other international candidates with strong executive presence will only be considered.
- Impeccably presented with a polished, professional appearance and strong personal style.
- Confident engaging with senior executives, VIP guests, and international clientele.
