Overview

  • A Medium-sized law firm in the UAE is seeking a professional, organised, and detail-oriented Legal Executive Assistant to the Managing Director.
  • The candidate will provide direct support to the Managing Director, coordinate with legal teams, manage emails and meetings, follow up on assigned tasks, assist with proposals, and support day-to-day legal administration.
  • We are looking for a highly organized and professional Legal Executive Assistant to the Managing Director for a prestigious law firm in the UAE.
  • The candidate will support the Managing Director by managing emails, coordinating meetings, attending discussions, preparing minutes, assigning and tracking tasks, assisting with legal proposals, coordinating with legal teams, and following up on client and internal matters.
  • Provide direct executive and administrative support to the Managing Director.
  • Review, organize, and prioritize the Managing Director’s emails and highlight urgent matters.
  • Draft professional emails, letters, internal notes, and client correspondence when required.
  • Assist the Managing Director in assigning tasks to lawyers, legal consultants, paralegals, and administrative staff.
  • Track assigned tasks, follow up with responsible team members, and ensure deadlines are met.
  • Schedule, coordinate, and attend internal and external meetings.
  • Prepare meeting agendas, meeting minutes, action points, and follow-up summaries. (90% online, recorded or transcribed, AI summarised)
  • Assist in preparing, formatting, reviewing, and sending legal service proposals and engagement letters. (Limited Scope to Tasks related to Managing Director)
  • Coordinate with legal teams regarding client matters, case updates, corporate work, and pending deadlines. (Limited Scope to Tasks related to Managing Director)
  • Liaise professionally with clients, government authorities, free zone authorities, consultants, and external parties. (Limited Scope to Tasks related to Managing Director)
  • Maintain organized physical and electronic records of legal files, proposals, correspondence, and internal instructions.
  • Conduct basic legal and regulatory research when required and prepare short internal summaries (Usign Provided Tools).
  • Manage the Managing Director’s calendar, appointments, calls, travel arrangements, and daily schedule.
  • Maintain strict confidentiality of client matters, legal documents, financial information, and management communications.
