Responsibilities
- Manage complex calendars, scheduling meetings, conference calls, board reviews, and cross functional discussions for senior leadership
- Prioritize time sensitive requests and coordinate with multiple departments to ensure effective use of executive time
- Act as a central point of coordination between the Chairman, executive leadership, and operational teams
- Collaborate with department heads to monitor operational priorities, track project progress, and ensure action items are completed
- Prepare, edit, and format reports, presentations, board materials, meeting agendas, minutes, and executive correspondence
- Maintain structured digital and physical filing systems, ensuring accurate document management and version control
- Support strategic projects and operational initiatives by conducting research, gathering data, preparing analysis, and coordinating milestones
- Facilitate cross functional collaboration and assist in driving alignment on business objectives and operational improvements
- Monitor departmental updates, compile status reports, and provide leadership with clear visibility into ongoing projects
- Handle confidential and sensitive information with the highest level of discretion, professionalism, and integrity
Requirements
- Bachelor's degree in Business Administration, Management, Communications, or a related field
- 3–5+ years of experience in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role supporting senior leadership
- Fluent in both English and Arabic, with excellent verbal and written communication skills
- Minimum typing speed of 60 words per minute (WPM) with high accuracy
- Proven experience managing executive calendars, travel arrangements, meetings, and administrative operations
- Strong organizational, time management, and multitasking skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong attention to detail and ability to prepare professional reports, presentations, and executive documentation

Qualifications

- 3–5+ years of experience in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role supporting senior leadership.
- Fluent in both English and Arabic, with excellent verbal and written communication skills.
- Minimum typing speed of 60 words per minute (WPM) with a high degree of accuracy.
- Proven experience managing executive calendars, travel arrangements, meetings, and administrative operations in a fast paced environment.
- Strong organizational, time management, and multitasking skills, with the ability to manage competing priorities effectively.

- Strong attention to detail and ability to prepare professional reports, presentations, and executive documentation.
- Ability to coordinate cross functional initiatives, track action items, and ensure timely follow up on key deliverables.
