Role Overview

  • The Executive Assistant (EA) is responsible for providing high level administrative support to senior leadership, enabling efficient day to day management of executive priorities.
  • The role demands strong organizational skills, discretion, and the capacity to handle multiple stakeholders in a dynamic corporate environment.
  • The EA is crucial in optimizing executive time management, facilitating stakeholder coordination, overseeing meeting and reporting management, managing office operations, and supporting strategic projects.

Executive Support

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements.
  • Prioritize and coordinate executive engagements to optimize time management.
  • Screen and manage communications (emails, calls, correspondence) on behalf of the executive.

Stakeholder Coordination

  • Act as a key point of contact between the executive and internal/external stakeholders.
  • Coordinate cross functional meetings and ensure timely follow ups on action items.
  • Support preparation for leadership meetings, including agendas and documentation.

Meeting & Reporting Management

  • Prepare high quality presentations, reports, and briefing materials.
  • Attend meetings where required and document minutes, decisions, and actions.
  • Track and follow up on key deliverables and commitments.

Office & Operational Support

  • Ensure smooth office operations for the executive's function.
  • Manage confidential documents and sensitive information with discretion.
  • Support budget tracking, expense management, and vendor coordination.

Project Support

  • Assist in the delivery of strategic projects and initiatives led by the executive.
  • Monitor project timelines and escalate risks or delays where necessary.
  • Conduct research and compile insights to support decision making.
