Job summary

The Executive Assistant manages operations and logistics for stakeholder management, calendar management, meeting minutes, travel management, and related activities.

The role reports to the senior leadership team and requires networking with external market executives, rapport with leaders and direct reports, business intelligence gathering, and excellent communication and presentation skills.

Stakeholder and meeting support

  • Build relationships with Indian vendors, law firm senior leaders, VPs, and CXOs.
  • Interact with internal and external stakeholders and coordinate discussions with vendor-side executive assistants.
  • Take meeting notes, follow up on action items, and report progress regularly.
  • Schedule, accept, or decline meetings on leaders’ behalf and prioritize meeting lists according to stakeholder needs.
  • Attend meetings, manage minutes of meeting, and coordinate follow-up activities.

Travel and expense management

  • Coordinate visa applications, domestic and international tickets, accommodation, and conveyance.
  • Arrange international calling cards, foreign exchange cash, S-badges, and transportation.
  • Manage travel expenses and other approval activities within leaders’ organizations.

HR, systems, and events

  • Support HR and talent acquisition processes, events, purchase orders, and systems activities.
  • Schedule calibration, appraisal, mentoring, and lateral hiring meetings.
  • Create purchase orders and purchase requisitions using Microsoft Office and Dynamics tools or ERP systems.
  • Manage role changes, salary changes, new-hire joining requests, space allocation, and confidential leader data.
  • Plan and program-manage town halls, team lunches, team outings, and virtual activities.

Experience and qualifications

  • 5–10 years of proven and relevant experience as an Executive Assistant or in a similar role.
  • Bachelor’s or master’s degree or equivalent; the source labels the education and certification section optional.
  • Strong English communication, meticulous calendar management, follow-through, prioritization, flexibility, trustworthiness, and confidentiality.
  • Working knowledge of Microsoft Office and Dynamics tools or ERP systems.

Desired skills

  • Proactive ownership, clear communication, cultural adaptability, emotional intelligence, and the ability to use AI to create first drafts of presentations are desirable.
  • Event and program management skills are an added advantage.
