Document Controller / Project Administrator

Job Purpose

Key Responsibilities

• Manage the complete document control process for project-related documents and correspondence.
• Maintain and update drawing registers, including revisions, approvals, superseded drawings, and distribution records.
• Control and track contracts, agreements, variations, approvals, and supporting project documentation.
• Prepare, circulate, and maintain accurate meeting minutes, action trackers, and follow-up records.
• Register, issue, track, and follow up on RFIs, technical submissions, material submissions, shop drawings, and other project submissions.
• Manage incoming and outgoing correspondence with authorities, consultants, contractors, subcontractors, and internal departments.
• Ensure all documents are properly numbered, filed, archived, and retrievable in accordance with company procedures.
• Maintain updated logs and trackers for submissions, approvals, RFIs, drawings, contracts, and correspondence.
• Coordinate with project teams to ensure required documents are submitted within agreed timelines.
• Follow up on pending approvals, responses, and outstanding documentation.
• Ensure only the latest approved documents and drawings are circulated and used by the project team.
