About Us

  • We provide vehicle rental and transportation solutions to clients in the oil and gas industry. We are looking for a detail oriented Document Controller to join our team and manage the documentation, records, and compliance paperwork that keep our fleet operations running smoothly.

Key Responsibilities

  • Maintain and organize all company and fleet related documents (vehicle registrations, insurance papers, permits, licenses, maintenance records, driver documents, etc.).
  • Ensure all documents are up to date, properly filed, and easily retrievable (digital and hard copy).
  • Track expiry dates for vehicle registrations, insurance policies, driver licenses, and permits, and follow up on renewals.
  • Coordinate with clients, government authorities, and internal departments (Operations, HR, Fleet) to collect and submit required paperwork.
  • Prepare and maintain contracts, rental agreements, and client documentation.
  • Ensure documentation complies with company policies and relevant oil & gas / transportation regulations.
  • Maintain document control logs and generate reports for management.
  • Support internal and external audits by providing accurate, organized records.
  • Manage both physical archives and electronic document management systems (EDMS).

Requirements

  • Bachelor's degree or diploma in Business Administration, Records Management, or related field.
  • 2+ years of experience as a Document Controller, preferably in transportation, logistics, or oil & gas.
  • Strong knowledge of MS Office (Excel, Word) and document management systems.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple document types and deadlines simultaneously.
  • Knowledge of vehicle/fleet documentation and permits is a plus.
