Document Controller

Overview

Key Responsibilities

• Administer project document management systems (Aconex preferred or equivalent)
• Apply project-specific document numbering, coding, and classification procedures
• Manage document revision control, including tracking superseded and obsolete documents
• Prepare, issue, and track incoming and outgoing transmittals
• Monitor and report engineering deliverable status across all disciplines
• Receive, log, and distribute vendor documents for engineering review and approval
• Maintain and update drawing and document registers to ensure accuracy and traceability
• Track and coordinate comment resolution between disciplines and stakeholders
• Compile and manage as-built documentation packages for project close-out
• Control filing, archiving, and retrieval of project documents in an organized system
• Manage reproduction, distribution, and circulation of controlled documents
• Maintain correspondence logs and ensure proper documentation of project communications

Requirements

• Bachelor's degree or Diploma in Business Administration, Information Management, or Library Science
• 8 years of relevant experience in document control for engineering design or EPC projects
• 3+ years of relevant experience in large infrastructure (desalination, water, or oil & gas), managing multi-discipline engineering deliverables such as drawings, specifications, datasheets, and vendor documents
• Saudi Council of Engineers (SCE) Certificate is a plus
• Proficiency in Aconex, ISO 9001 quality management systems, Excel, and document control processes
• Excellent organizational and time-management skills with a keen eye for detail
• Good communication and interpersonal skills to liaise effectively with project teams and stakeholders
• Ability to handle multiple tasks and work under pressure to meet deadlines
• Proficient in Microsoft Office Suite (Word, Excel, Outlook)
