Responsibilities
- Manage and maintain all project documentation in accordance with company procedures and Project File Index
- Control receipt, registration, distribution, tracking, and filing of all incoming and outgoing project documents
- Maintain and update document registers including Drawings, RFI, Material Submittal, Shop Drawing, Method Statement, WIR, MIR, NCR, SI, EI, TQ, Design Change, and Transmittals
- Coordinate document submissions to consultants, contractors, and authorities ensuring timely approvals
- Manage project documentation within Electronic Document Management System (EDMS), preferably Aconex
- Ensure all project drawings are current by maintaining revision history and superseded records
- Prepare and issue transmittals, official correspondence, reports, and document status updates
- Monitor overdue documents and follow up with stakeholders for timely closure
- Maintain red line markups, as built documentation, and final project records
- Support project close out by compiling handover documentation, O&M manuals, warranties, and as built records
- Ensure document control activities comply with Quality Management System (QMS) and Information Management procedures
- Maintain confidentiality, accuracy, and integrity of all project information
Requirements
- Bachelor’s Degree or Diploma in Business Administration, Engineering, Construction Management, or related discipline
- 3–5 years of experience as a Document Controller in construction or real estate development
- Strong knowledge of Electronic Document Management Systems (EDMS), preferably Aconex
- Excellent knowledge of construction documentation (drawings, RFIs, MIRs, etc.)
- Proficient in Microsoft Office applications, particularly Excel and Word
- Excellent organizational, communication, and time management skills
- Strong attention to detail with ability to manage multiple priorities
- Ability to maintain document accuracy, confidentiality, and version control

About the Job
- Swank Development is seeking a highly organized, detail oriented Document Controller to join our Projects team and support the successful delivery of premium residential developments in Dubai.
- The successful candidate will be responsible for managing and controlling all project documentation throughout the project lifecycle, ensuring documents are accurately recorded, reviewed, distributed, and archived in accordance with company procedures and project requirements.
- This role plays a key part in maintaining document integrity, supporting project teams, ensuring compliance with quality standards, and facilitating effective communication between internal departments, consultants, contractors, and authorities.
Key Responsibilities
- Manage and maintain all project documentation in accordance with the company’s Document Control Procedures and Project File Index.
- Control the receipt, registration, distribution, tracking, and filing of all incoming and outgoing project documents.
- Maintain and update document registers, including but not limited to: Drawings Register, RFI Register, Material Submittal Register, Shop Drawing Register, Method Statement Register, WIR & MIR Register, NCR Register, Site Instructions (SI), Engineer’s Instructions (EI), Technical Queries (TQ), Design
- Coordinate document submissions to consultants, contractors, and relevant authorities while ensuring timely approvals and responses.
- Manage project documentation within the Electronic Document Management System (EDMS), preferably Aconex.

- Proactive, collaborative, and capable of working effectively with multidisciplinary project teams.
