Job Description
Own and manage project document control for Audio Visual (AV) and Information Technology (IT) systems integration projects (meeting rooms and LED walls), ensuring all drawings, BOQ documents, technical submittals, correspondence, and handover documentation are accurate, version-controlled, approved, and distributed to the right stakeholders on time—supporting compliance, smooth project delivery, and effective collaboration.
Key Responsibilities
- Set up and maintain the Master Document Register (MDR), document numbering, templates, and project folder structure at award/kick-off.
- Maintain a document schedule aligned to key milestones (design freeze, submittals, delivery, installation, testing & commissioning, UAT, handover).
- Prepare and issue controlled transmittals to clients/consultants and internal teams, track receipt, review status, due dates, and resubmissions.
- Control revision and approval workflows for drawings, BOQs, technical submittals, and correspondence; ensure only the latest approved documents are issued to site and stakeholders.
- Manage registers/logs (MDR, submittals, shop drawings, RFIs, transmittals, MoM, as-builts, handover) and provide weekly status reports to Project Managers.
- Coordinate engineering/design deliverables (layouts, schematics, SLDs, rack elevations, network/integration diagrams) and support design-freeze controls and traceability.
- Support procurement and logistics documentation control (vendor submittals, compliance docs, delivery notes, certificates, warranties) and maintain make/model approval traceability.
- Coordinate with Warehouse/Staging on GRNs, packing lists, serial number/asset registers, staging checklists, and dispatch documentation.
- Maintain as-built documentation throughout execution (redlines/markups) and compile closeout handover dossiers including O&M manuals, test reports, commissioning/UAT evidence, training records, warranties, and acceptance confirmations.
- Ensure document quality and compliance (titles, metadata, revision history, formatting, approval stamps where applicable) and support audit readiness by retrieving document trails within agreed timelines.
- Key Requirements
- 5+ years’ experience as a Document Controller / Project Document Controller within a Project Office/PMO (construction/ELV/AV/ICT environments preferred).
- Proven experience controlling AV meeting room and/or LED wall project documentation across the full lifecycle (design, procurement, installation, testing/commissioning, handover).
- Strong ability to read and manage AV drawings (layouts, schematics, SLDs, rack elevations) and understand drawing status (IFR/IFA/IFC, as applicable).
- Strong understanding of BOQ, technical specifications, compliance matrices, and technical submittal packages.
- High proficiency with document control platforms and Microsoft 365 (SharePoint, Teams, Excel) with excellent attention to detail and organization.
- Excellent communication skills and ability to coordinate with internal teams and client/consultant stakeholders; high ethics and confidentiality.
