Job Description
The Crewing Coordinator supports daily crewing operations for assigned vessels.
The role supports the Operations Manager with crew scheduling, documentation control, logistics coordination, and compliance with company and maritime procedures.
Primary Responsibilities
- Coordinate crewing activities, crew movements, crew changes, and sign-on or sign-off schedules for assigned vessels.
- Schedule recruitment interviews and follow up with candidates.
- Arrange flights, visa applications, and related crew travel documentation.
- Maintain crew records, personnel files, certification expiry tracking, crew lists, rotation schedules, and crew matrices.
- Check certificates, training records, medical validity, and document authenticity when required.
- Support immigration declarations, port-clearance documentation, crew movement records, and sign-on or sign-off processing.
- Coordinate payroll inputs, crew claims, allowances, invoices, agents, vendors, and manning agencies.
- Support PPE issuance, stock coordination, communication with crew, process improvement, and administrative operations.
Knowledge and Skill Requirements
- Good command of spoken and written English; Arabic is an advantage.
- Proficiency in MS Office, including Word, Excel, and Outlook.
- Basic understanding of crewing operations and maritime terminology.
- Strong organization, coordination, attention to detail, communication, and teamwork skills.
- Ability to work under pressure and manage multiple tasks.
- 1–2 years of administrative or crewing support experience is preferred.
Working Conditions
- The role is office-based and requires in-person work.
Reporting and Cover
The Crewing Coordinator reports to the Operations Manager.
The role provides support during the absence of crewing officers or senior staff and may provide relief for a Crewing Officer or Senior Crewing Officer.
Pay
- Pay is AED 3,500–4,000 per month.
