About Us
ADF Abu Dhabi is a high-end specialist contractor operating in the luxury construction and fit-out sector.
As part of an international group, we deliver prestigious, design-led projects across the Middle East, the UK and internationally.
To support our growing operations in Dubai, we are seeking a highly organised and proactive **Project Administrator / Office Manager** to oversee daily administrative activities and support project teams.
The Role
Based in our Dubai office, you will play a central role in ensuring smooth day-to-day operations, supporting project delivery, and maintaining compliance with UAE administrative and HR requirements.
This is a hands-on role requiring strong organisation skills, attention to detail, and good knowledge of UAE processes.
Office & Administration
- Managing daily office operations and general administration
- Coordinating documentation, filing systems and project records
- Supporting senior management with reporting and documentation
- Liaising with suppliers and service providers
Project Support
- Assisting project managers with administrative follow-up
- Tracking orders, deliveries and materials procurement
- Maintaining cost trackers and internal registers
- Supporting subcontractor documentation and compliance checks
- Coordinating logistics, accommodation and transportation where required
- Documents control
Compliance Support
- Assisting with UAE HR administration (contracts, labour documentation, onboarding and offboarding processes)
- Coordinating visa documentation and work permit processes
- Ensuring compliance with UAE labour regulations and company policies
- Maintaining employee records and supporting payroll administration
- Liaising with free zone / mainland authorities where required
Experience & Profile
- Minimum 5 years’ experience in administration within construction, fit-out or engineering sectors
- Strong knowledge of UAE HR processes and regulatory requirements
- Experience dealing with MOHRE / visa processes preferred
- Highly organised with strong attention to detail
- Ability to manage multiple tasks in a fast-paced environment
- Strong communication skills in English (Arabic is a plus)
- Proficient in Microsoft Office and project tracking tools
- UAE experience is essential
