Overview
- The Assistant Project Manager supports the Real Estate Services (RES) Operational Management team to ensure effective governance and continuous improvement across RES, with a focus on financial and commercial control, supplier incident and planned works coordination, and third party onboarding and c
Duties & Responsibilities
- Support budget and spend tracking for outsourced services, validating supplier invoices against contracted scope, rates, and performance.
- Review and validate variations (e.g., scope changes, ad hoc works), ensuring appropriate approvals and change controls are obtained and evidenced.
- Maintain accurate records to support forecasting, accruals, and management reporting.
- Serve as the RES point of contact for supplier related incidents (e.g., outages, safety events, service failures), coordinating response, communications, and follow up actions.
- Drive timely root cause analysis (RCA) and corrective/preventative actions, tracking actions to closure and escalating where required.
- Coordinate stakeholder communications for planned works to minimize business disruption and ensure operational readiness.
- Act as the designated Third Party Engagement Manager (TPEM) for assigned suppliers, ensuring all required activities are completed on time and to standard.
- Ensure contracts, statements of work, service levels, and change controls are established, current, and maintained.
- Maintain an up to date supplier inventory for RES UAE, including services provided, locations covered, and governing agreements.
- Support identification, assessment, and ongoing management of third party risks, including operational resilience considerations.
- Ensure supplier documentation remains current and readily accessible (e.g., insurance, certifications, relevant H&S documentation).
- Support due diligence, periodic reviews, and audit readiness in line with the third party management framework.
Experience & Qualifications
- A graduation degree is essential for obtaining a UAE visa and work permit. If your university certificate is from outside the UAE, up to date attestations and equivalency are also mandatory.
- 2 years’ experience working in a project/operations management focused role is required.
- Strong attention to detail is required for the role.
- Strong analytical capability to interpret metrics and draw sound, data led conclusions.
- Solid understanding of operational management principles and internal control frameworks.
- High personal drive and self motivation.
- Able to make well balanced recommendations using both qualitative judgement and quantitative evidence.
- Proven communication and planning skills, ideally within a matrixed environment.
- Strong communication and interpersonal effectiveness.
- Build trust working relationships and collaborate well across teams.
- Good judgement on when to escalate matters to senior team members.
