What are your contributions to the team?

  • Coordinate and optimize travel logistics for team members and leadership, ensuring alignment with business priorities
  • Manage and analyze expense submissions, ensuring accuracy, compliance, and timely processing; identify trends or discrepancies as needed
  • Create, track, and monitor purchase requisitions, provide status updates and ensure timely completion
  • Support onboarding processes by coordinating logistics, preparing materials, and ensuring a seamless new hire experience
  • Contribute to workforce administration by monitoring timecard submissions and supporting reporting and compliance activities
  • Coordinate team events, meetings, and catering logistics to support operational effectiveness
  • Manage and track IT service requests for new hires and team members, ensuring timely resolution and escalation when required
  • Monitor office and IT supply usage, analyze needs, and coordinate replenishment to maintain operational continuity
  • Support meeting and workspace coordination, including conference room planning and logistics
  • Track and follow up on key operational activities, ensuring deliverables are completed and deadlines are met
  • Compile, validate, and maintain data for reporting purposes; support the preparation of dashboards and summaries
  • Develop and maintain tracking tools, databases, and distribution lists to support team efficiency and decision making

How to thrive in this role?

  • You hold a post secondary degree in business administration, management, or a related field
  • You have a minimum of five years of experience in coordination, operations, or analytical support role within a complex environment
  • You demonstrate strong proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook), with the ability to organize and analyze information effectively
  • You are fluent in both French and English, written and spoken
  • You are recognized for your strong organizational, prioritization, and problem solving skills
  • You apply sound judgment and attention to detail in managing multiple competing priorities
  • You take a proactive, solutions oriented approach and continuously seek opportunities to improve processes and ways of working
  • You handle sensitive information with a high level of professionalism and discretion
  • You thrive in a fast paced, collaborative environment and build strong working relationships across teams
