Responsibilities
- Coordinate and optimize travel logistics for team members and leadership, ensuring alignment with business priorities
- Manage and analyze expense submissions, ensuring accuracy, compliance, and timely processing; identify trends or discrepancies as needed
- Create, track, and monitor purchase requisitions, provide status updates and ensure timely completion
- Support onboarding processes by coordinating logistics, preparing materials, and ensuring a seamless new hire experience
- Contribute to workforce administration by monitoring timecard submissions and supporting reporting and compliance activities
- Coordinate team events, meetings, and catering logistics to support operational effectiveness
- Manage and track IT service requests for new hires and team members, ensuring timely resolution and escalation when required
- Monitor office and IT supply usage, analyze needs, and coordinate replenishment to maintain operational continuity
- Support meeting and workspace coordination, including conference room planning and logistics
- Track and follow up on key operational activities, ensuring deliverables are completed and deadlines are met
- Compile, validate, and maintain data for reporting purposes; support the preparation of dashboards and summaries
- Develop and maintain tracking tools, databases, and distribution lists to support team efficiency and decision making
Requirements
- Post secondary degree in business administration, management, or a related field
- Minimum of five (5) years of experience in coordination, operations, or analytical support role within a complex environment
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook), with the ability to organize and analyze information effectively
- Fluent in both French and English, written and spoken
- Strong organizational, prioritization, and problem solving skills
- Sound judgment and attention to detail in managing multiple competing priorities
- Proactive, solutions oriented approach and continuously seeks opportunities to improve processes
- Handle sensitive information with a high level of professionalism and discretion
- Thrive in a fast paced, collaborative environment and build strong working relationships across teams
