Responsibilities
- Monitor and review Purchase Orders (Local, Import, Non stock, Asset, and Service) in SAP.
- Perform finished goods costing and cost run updates in SAP and Excel.
- Conduct sales price and margin analysis for existing and new products.
- Create and maintain Bills of Materials (BOM) for existing and new products.
- Prepare inventory, production, variance, and management reports.
- Process Goods Receipt (GR) entries for local, import, and non stock materials.
- Verify Store Receipt Vouchers (SRVs) against vendor invoices and delivery notes.
- Post daily production confirmations in SAP for all production lines.
Requirements
- Bachelor's Degree or Diploma in Business Administration, Commerce, Industrial Management, or a related field
- 2–4 years of administrative experience in a manufacturing or FMCG environment
- Experience in production administration and documentation
- Good knowledge of SAP or other ERP systems
- Advanced proficiency in Microsoft Excel, Word, Outlook, and PowerPoint
- Strong report preparation and data management skills
- Excellent organizational and time management skills
- High attention to detail and accuracy

Tactical
- Monitor and review Purchase Orders (Local, Import, Non stock, Asset, and Service) in SAP.
- Perform finished goods costing and cost run updates in SAP and Excel.

- Prepare inventory, production, variance, and management reports to support operational decision making.
Operational (Core) Purchase, Sales & Distribution
- Verify Purchase Orders in SAP (Local, Import, Non stock, Asset, and Service).
- Create Service Entry Sheets (SES) in SAP for service purchase orders.
- Monitor Purchase Order history and maintain PO records.
- Create outbound deliveries for local and export sales invoices.
- Process Goods Return Voucher (GRV) entries for local and export transactions.
Operational (Core) Material Management & Production Planning
- Process Goods Receipt (GR) entries for local, import, and non stock materials.
- Verify Store Receipt Vouchers (SRVs) against vendor invoices and delivery notes.
- Record sample, damaged, expired materials, and related inventory transactions.
- Process material related credit and debit note entries.
- Perform physical inventory verification across all storage locations.
- Reconcile inventory balances between physical stock and SAP records.
- Create and maintain SAP item codes for raw materials and finished goods.
- Verify Daily Production Reports against Raw Material Requisition Slips (RMRS).
- Prepare Daily Production Reports in coordination with Production Supervisors.
- Post daily production confirmations in SAP for all production lines.
Operational (General)
- Ensure accuracy and completeness of production, inventory, and costing data in SAP.
- Maintain all production, inventory, and purchasing documentation.
- Support internal and external audits by providing relevant records and reports.
- Ensure compliance with company policies, GMP, HACCP, and quality management systems.
- Coordinate with Procurement, Warehouse, Production, Finance, QA, and Supply Chain to resolve operational issues.
- Identify opportunities to improve reporting accuracy and operational efficiency.
- Perform additional duties assigned by the Production Manager.
People Management
- Coordinate effectively with Production Supervisors for production reporting and planning.
- Liaise with Procurement, Warehouse, Finance, Quality Assurance, and Supply Chain teams to ensure seamless operational support.
- Provide guidance and support to users on SAP transactions related to production and inventory where required.
- Foster collaboration and effective communication across departments to achieve operational objectives.
Skills Education and Certification
- Bachelor's Degree or Diploma in Business Administration, Commerce, Industrial Management, or a related field.
- Certification in Microsoft Office or SAP/ERP is an added advantage.
Minimum Experience & Skills
- 2–4 years of administrative experience in a manufacturing or FMCG environment.
- Experience in production administration and documentation.
- Good knowledge of SAP or other ERP systems.
- Advanced proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
- Strong report preparation and data management skills.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Knowledge of GMP, HACCP, ISO documentation, and food safety standards is preferred.
