Reporting to the Director Construction Store Development, the Administrative Assistant provides administrative assistance to the superior and Engineering and Repair & Maintenance teams and in various construction, renovation, remodeling, repair and maintenance projects.
Provide administrative support to the team by working closely with project managers, R&M manager, project coordinators and technicians
Communicate with vendors, consultants, general contractors and government bodies, solicit quotations, specifications and other relevant information as required; alert the relevant parties on urgent matters and timelines
Prepare business correspondence such as letters, emails, specifications and other project requirements
Reconcile invoices against purchase orders, liaise with Finance & Accounting in settling payments for various vendors on a timely manner
Perform data and file maintenance and ensure data integrity, good audit trail and create reports as required
Perform any other duties or tasks as assigned by the superior(s)
High school or College completion with a minimum of 1 year administrative experience in a fast-paced working environment
Proficient in using Windows applications including Word processing, Excel, Power Point and Outlook
Ability to prioritize and deliver multiple assignments promptly and accurately
Demonstrate excellent customer service and initiative in completing assignments
Demonstrate sound ability to communicate (verbally and written) in English effectively with both internal and external stakeholders
Ability to communicate in Chinese (Cantonese &/or Mandarin) is an asset
Basic accounting knowledge is an asset.
