About the Department
Delaware County Community College (DCCC), located outside of the Philadelphia Metro area, is looking for a dedicated and dynamic Administrative Assistant to join our team of higher education professionals who are committed to student success. The Administrative Assistant reports to the Executive Director, Branch Campus Operations Southeast Center (SEC), and is responsible for providing clerical, administrative, and office support services to the location. This position maintains a current knowledge of appropriate college and academic policies, processes, and procedures to assure efficiency and integrity of the office of the Branch Campus Operations SEC. The Administrative Assistant serves as a primary point of operational and administrative contact for internal and external constituencies related to the SEC. Participates in the coordination, control, and completion of special projects and events. May serve on a variety of committees in a support capacity. The Administrative Assistant participates in site and college activities, events, meetings, and training, as necessary.

Position Duties
- Essential Functions The Administrative Assistant provides office support to the Executive Director, Branch Campus Operations SEC to include but not limited to: Managing college platforms at the department level, including Banner, Argos, Google Workspace, Zoom, Microsoft Office Suite (including Excel), and document/data management systems; Providing support by responding to and routing email and voicemail inquiries; maintaining calendars with an emphasis on key dates, deadlines, meetings, and appointment scheduling; Utilize available college resources to assist the Executive Director in maintaining a comprehensive academic schedule for the SEC campus (input class schedule and cancellations); Assisting students, faculty, staff, and community members by serving as a primary point of contact and providing information and support via telephone, email, in person, and other communication channels; Performing administrative functions, including processing purchasing requisitions, ordering office supplies, preparing travel reimbursement requests, and other related tasks; Establishing, maintaining, and improving office methods, administrative procedures, and organizational systems to support efficient operations; Working collaboratively with part-time administrative staff to ensure effective office support; Maintaining accurate records and files while ensuring confidentiality and compliance with college policies, practices, and procedures; Supporting special projects, events, meetings, and initiatives assigned by the Executive Director to include managing the calendar and other supportive efforts; Performing other related duties as assigned to support the goals and operations of Branch Campus Operations SEC; Completes special projects specific to the Branch as directed by the Executive Director; Support enrollment, workforce development, community engagement, and campus outreach activities as needed; Serve as a liaison between branch campuses and academic, student affairs, facilities, finance, and administrative departments; Participate in interactive, on-site meetings during normal business hours and on a regular basis; regular on-site SE Center office hours; Maintain regular attendance according to the established work schedule; Performs other duties as assigned. The successful candidate must be an engaging, effective, innovative, dynamic collaborator who will have demonstrated knowledge of the best practices associated with administrative support, and customer service. This individual will have access to sensitive student and community member information and is expected to handle such information within confidential information guidelines and with integrity and professionalism. The successful candidate will also actively participate in creating an environment that encourages, models, embraces, and incorporates diverse thoughts and perspectives of all individuals of various backgrounds, ideas, and perspectives to foster an all-inclusive atmosphere and drive results.

Minimum Qualifications
- Qualified candidates will have a minimum of 3-5 years of progressively responsible administrative/office management related experience, technical training, or equivalent combination of education & experience. Prior related experience at a branch/regional campus preferred. Associates degree from an accredited institution or equivalent combination of education, administrative experience, or technical training is required, bachelor’s degree from an accredited college or university is preferred.
