Overview

  • We are seeking a highly organized, proactive, and detail oriented Administrative Assistant – Sales Operations to join our Real Estate Operations team.
  • The ideal candidate will provide administrative and operational support to the Sales, Leasing, and Property Management departments.
  • This position supports the company's continued growth and expansion.

Key Responsibilities

  • Provide daily administrative and operational support to the Real Estate and Property Management teams.
  • Manage and maintain accurate records in CRM, ERP, and property management systems.
  • Handle incoming calls, emails, and client inquiries professionally and efficiently.
  • Prepare business correspondence, reports, presentations, spreadsheets, and other documentation using Microsoft Office applications.
  • Coordinate property listings, viewings, inspections, sales, and leasing activities.
  • Prepare tenancy contracts, renewals, addendums, and related documentation in compliance with UAE real estate regulations.
  • Track tenancy status, rental payments, lease expirations, rent reminders, and operational updates.
  • Support tenant onboarding, move in/move out procedures, and client communications.
  • Liaise with maintenance teams, contractors, suppliers, and service providers to ensure timely resolution of issues.
  • Coordinate with government authorities, including the Dubai Land Department (DLD), when required.
  • Maintain organized digital and physical filing systems for contracts, leases, title deeds, and property records.
  • Assist in preparing operational, leasing, sales, and management reports.

Requirements

  • Minimum 3 years of experience in an administrative role, preferably within the UAE real estate or property management sector.
  • Previous experience in the UAE real estate industry is highly preferred.
  • Strong proficiency in Microsoft Office applications (Excel, Word, Outlook, and PowerPoint).
  • Hands on experience with CRM and/or ERP systems is mandatory.
  • Practical experience using Dubai Land Department (DLD) systems and portals, including Oqood, Dubai REST, and Trakheesi, is mandatory.
  • Knowledge of UAE real estate regulations, leasing procedures, and property documentation.
  • Excellent written and verbal communication skills in English.
  • Strong business correspondence and email writing skills.
  • Highly organized, detail oriented, and capable of managing multiple tasks and deadlines.
  • Strong coordination and stakeholder management skills.
  • Ability to work independently and as part of a team in a fast paced environment.
  • Arabic language skills will be considered a strong advantage.
