Overview
The Admin Coordinator supports the WBC (Well Bore Cleanout) Product Line by providing administrative, operational, and coordination support to product line leadership and cross-functional teams.
This role is responsible for managing schedules, coordinating meetings and communications, preparing reports and presentations, maintaining records, supporting business processes, and ensuring efficient day-to-day operations.
The position requires a highly organized and proactive individual capable of managing multiple priorities while maintaining confidentiality and supporting operational excellence in a fast-paced oil and gas environment.
Responsibilities
- Provide administrative and coordination support to the WBC (Well Bore Cleanout) Product Line leadership team.
- Manage calendars, meetings, travel arrangements, correspondence, and business schedules.
- Prepare and maintain reports, presentations, meeting materials, records, and documentation.
- Coordinate communication and activities across operations, engineering, manufacturing, supply chain, sales, and field teams.
- Support budgeting, expense tracking, purchase requisitions, invoice processing, and other administrative workflows.
- Track key action items, project deliverables, and operational priorities to ensure timely execution.
- Organize internal meetings, workshops, and product line events.
- Ensure compliance with company policies, HSE standards, quality requirements, and business processes.
- Identify opportunities to improve administrative efficiency and support continuous improvement initiatives.
Qualifications
- High School Diploma or equivalent with a minimum of 7 years of administrative experience supporting projects in the oil and gas industry; or an Associate Degree, Diploma, or equivalent qualification in Business Administration or a related field.
- Minimum 5+ years of experience in an administrative, coordinator, or operational support role.
- Experience supporting management teams and coordinating cross-functional activities.
- Proficiency in Microsoft Office applications and business reporting tools.
- Fluent English communication skills (written and verbal).

- Strong organizational, planning, and time-management abilities.
- Excellent verbal and written communication skills.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, and Teams).
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and problem-solving capabilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Effective interpersonal skills with the ability to work across all organizational levels.
- Experience preparing reports, presentations, and business documentation.
- Familiarity with ERP systems and administrative business processes is an advantage.
