About the Role

Responsibilities
- Coordinate port operations, including vessel attendance and government related contracts.
- Plan and deploy crew in line with vessel schedules, managing visa documentation and compliance.
- Communicate effectively with customers, vendors, manning agents, vessels, hotels, drivers, and internal teams.
- Identify, implement, and record cost saving initiatives without compromising service quality.
- Maintain compliant vessel files, SOPs, and handle complaints in line with company procedures.
- Source materials from reliable vendors, maintain and assess the vendor database with due diligence.
- Validate delivery notes and vendor invoices, report discrepancies, and submit documentation to Finance.
- Respond promptly to escalations, engaging directly with customers to resolve issues.

- Basic knowledge of crew movements
- Strong organisational and planning skills
- Ability to coordinate multiple crew changes simultaneously
- Problem solving and decision making skills under time pressure
- Ability to work under pressure and meet tight deadlines
- Ability to handle emergencies and last minute changes efficiently
- Ability to work independently as well as part of a team
- Bachelor’s degree
- Proficiency in MS Office applications (Excel, Word, Outlook)
- Flexible working in shifts (night shift)

Role Summary
- The role of the Operations Executive will be to coordinate and manage all crew related operational activities for assigned vessels, ensuring timely crew planning, documentation, mobilization and smooth communication between vessels, crew members, manning agencies, and internal departments.
- The role ensures efficient crew deployment while maintaining compliance with company policies.

- Work flexibly across time zones and outside office hours with a positive, team oriented approach.
