About the Role
HIGH LEVEL EVENT seeks a Tenders Specialist to manage end-to-end tendering and proposal processes for events and exhibitions. The role requires experience in bid management, event cost estimation, and vendor sourcing within the events industry.

Responsibilities
- Manage full tender lifecycle from opportunity identification to final submission and award
- Review and analyze RFPs/ITT/RFQs related to events, exhibitions, and activations
- Prepare technical and commercial proposals for event production, staging, branding, and logistics
- Coordinate with internal teams (creative, operations, production, procurement, finance) for bid inputs
- Source and evaluate suppliers including AV companies, staging contractors, printing vendors, and logistics partners
- Prepare BOQs, event cost estimates, and pricing breakdowns
- Ensure full compliance with client requirements, specifications, and submission guidelines
- Maintain tender documentation, company profiles, and prequalification materials
- Track government, semi government, and private event opportunities in Qatar
- Attend site visits, pre bid meetings, and client clarification sessions
- Support negotiation and contract finalization with clients and partners
- Maintain a structured bid library and improve tender processes for efficiency
Requirements
- Experience in tendering, procurement, or bid management
- Experience in events, exhibitions, media production, or related industries strongly preferred
- Strong knowledge of proposal writing and commercial estimation
- Ability to manage multiple bids under tight deadlines
- Excellent communication and coordination skills
- Familiarity with Qatar procurement systems is a plus
- Degree in Business, Marketing, Events Management, or related field preferred

Job Description
- We are seeking a highly skilled Tenders Specialist with strong experience in managing end to end tendering and proposal processes within the events and exhibitions industry.
- The successful candidate will be responsible for preparing competitive bids for corporate events, exhibitions, activations, conferences, and government led event projects.
Key Responsibilities
- Manage full tender lifecycle from opportunity identification to final submission and award

Key Skills / Technical Competencies
- Tendering & Proposal Management (Events / Exhibitions industry preferred)
- Event cost estimation and production budgeting
- Vendor sourcing (AV, staging, fabrication, logistics, printing, manpower)
- Bid evaluation and compliance management
- Strong understanding of event execution workflows
- Negotiation & stakeholder management
- Market research and lead generation for events
- Time management and deadline driven execution
- Strong documentation and presentation skills
- Experience with Qatar event market and government tenders is an advantage
- Tools: Microsoft Office, PDF tools, proposal formatting systems
Requirements
